Role Overview

We are seeking a highly motivated, execution oriented, Executive Assistant (EA) to join our executive team. Reporting to the Associate Director of Human Capital, you will provide support to the CEO, CFO, and Chief Strategy Officer. This role is instrumental in building an environment where executives are well represented and supported through a focus on execution and professionalism. You will operate from a hands-on as well as strategic basis; rolling up your sleeves to ensure a best-in-class experience for all those with whom you interact.

Key Responsibilities

Your main priorities will include developing and refining best-in-class executive, employee, client, and vendor experience. You will:

  • Managing executive calendars, including making appointments, prioritizing, and managing sensitive information
  • Writing and editing e-mails, drafting memos, and preparing communications on the executives' behalf
  • Scheduling all travel arrangements and logistics; available to execute one-off errands such as picking up a rental car or having it delivered, etc.
  • Collecting and processing executive expenses including reconciliation of the corporate American Express card
  • Organizing in-office and off-site meetings, including scheduling, and coordination of catering and vendor supplied services
  • Maintaining comprehensive and accurate records - ideally summarizing actions, taking excellent notes, and helping in assigning and following-up on tasks
  • Manage administrative tasks such as arranging for couriers, coordinating Fed-Ex/UPS package pick up, and sending customer or employee gifts
  • Assistance with one-off projects for the executive team to assist their respective departments as it makes sense. For example, managing and sending a mail-merge for a communication coming from one of the executives where you will work with their team members to execute.
Ideal Candidate Profile
  • 10+ years of experience including at least 5 years in a role supporting C-suite level executives.
  • Impeccable client service orientation and interpersonal skills including being a pleasure to work with for all you will encounter in this position (Senior Executive Team and Trianz employees, vendors, and clients).
  • Ability to demonstrate clear, concise communication, good judgment, and discretion. Experience managing sensitive information.
  • Solid project management and time management experience. Drives work to closure with an organized approach, results and deadline driven to complete tasks and projects on time
  • Maintains a humble and professional demeanor. Understands the importance of this position as the face of the C-suite presenting a positive attitude, can-do mentality, and strong work ethic.
  • Experience managing all aspects of executive domestic and international travel is required. Current knowledgeable of the travel industry including air, hotel, car, nuances of international and domestic travel, COVID related requirements, and more is needed.
  • Experience managing day-to-day and periodic off-site meetings for teams of 20 people and up required including meeting invitations, catering, and working with location management to reserve.
  • Strong Outlook, Microsoft Teams, PowerPoint, DocuSign, and Word skills including executing mail merges required. Project management experience and familiarity with basic Excel a plus.
  • Unflappable in terms of demeanor, able to juggle multiple priorities with a cool head. Possess a mature and balanced outlook in life with the ability to see the glass as "half-filled".
  • Basic accounting experience to effectively manage executive expenses required.
  • Demonstrated experience working in fast growing organizations and/or working in an environment of change, preferred.
Preferred Qualifications
  • Tech industry experience, specifically with a software company is preferred. The ability to understand new technologies is necessary.
  • Demonstrated excellent written and verbal communication skills.
Education:

Bachelor’s degree in Business Administration, Communications, Human Resources, Management, or a related field required.

Compensation & Benefits for Fulltime hiring.

Trianz compensation reflects the cost of labor across several US geographic markets. The base pay ranges between USD $ 75 000 to $ 105 000. Pay is based on several factors including market location and may vary depending on job-related knowledge, skills, and experience. The actual wage offered may be lower or higher depending on budget and candidate experience, knowledge, skills, qualifications, and premium geographic location.
