Title: Training Specialist 

Location: Onsite at Itasca, IL (Approx. 15 minutes from Des Plaines HQ)

Duration: 12 Months with possibilities of extension and conversion to full-time

Schedule: 5 days/week, 40 hours; typical start time 7:00–7:30 AM with flexibility based on candidate needs.

Travel: Not required; potential optional travel to Des Plaines ~1x/year for in-person meetings or town halls

Position Overview

We are seeking a Training Specialist / LMS Administrator to support learning operations and training administration activities. This role is primarily focused on Learning Management System (LMS) administration, processing training-related requests, documentation management, and supporting day-to-day business needs. Candidates with experience in any LMS platform are encouraged to apply.

Work Allocation

  • 70% – LMS processing and transaction management
  • 20% – Meetings and stakeholder interactions
  • 10% – Miscellaneous administrative and support activities

Role Context

  • Reason the role is open: Need additional support to process daily training transactions while full-time staff supports an LMS system upgrade.
  • Primary focus: Day-to-day LMS transactions and training requests.
  • Projects supported: Minimal project work; possible involvement with LMS system upgrade.
  • Typical day: Monitor help desk inbox, respond to questions, process LMS transactions (training assignments, rosters, certifications, external training, training plan changes), attend daily team touchpoint.
  • Regular interactions: Hiring manager, full-time training coordinator (Josie), document control team, training team, internal client molecular division stakeholders.
  • First 90 days success: Intensive training, hands-on learning, understanding LMS processes, and learning business/customer needs.

Skills & Experience

Key Responsibilities

  • Manage and process training-related transactions within the Learning Management System (LMS).
  • Handle back-office administrative activities, including electronic documentation and record maintenance.
  • Respond to user requests and provide support through email, Microsoft Teams, and internal systems.
  • Coordinate and process training requests while ensuring data accuracy and quality standards.
  • Support learning and development initiatives and maintain training records.
  • Participate in meetings and collaborate with internal stakeholders to support business requirements.
  • Assist with system upgrades, integrations, and User Acceptance Testing (UAT) activities.
  • Ensure compliance with quality management processes and documentation standards.

Required skills:

  • Strong communication and customer service skills (white-glove support for leadership when needed).
  • Experience processing transactions in an LMS, document management, or change management system (SmartSolve experience preferred but not required).
  • Proactive communication and collaboration with team and stakeholders.

Preferred skills:

  • Experience creating or updating training materials or documents.
  • Instructional, teaching, training, or team leadership experience.
  • Microsoft Office proficiency (Excel, Word, PowerPoint); SharePoint, Power BI, and Power Automate are a plus.
  • Industry experience: Medical/pharmaceutical preferred, not required.
  • Systems used daily: SmartSolve LMS, Microsoft Teams, Outlook, Office suite.

Required Qualifications

  • Experience working as an LMS Administrator or in a Learning & Development support role.
  • Knowledge of quality management processes and electronic documentation.
  • Strong organizational and administrative skills.
  • Experience processing requests and supporting users through email and collaboration tools.
  • Ability to manage multiple tasks and maintain accuracy in a fast-paced environment.

Preferred Qualifications

  • Experience with User Acceptance Testing (UAT).
  • Exposure to system upgrades and integrations with other business systems.
  • Familiarity with Learning Management Systems (any LMS platform).

Education

  •  Bachelor’s degree preferred (science, education, or equivalent experience).
