Job description

The Inventory Specialist is a client-facing role responsible for supporting inventory accuracy, reporting, program execution, and process improvement for the Bentonville Point of Sale team. This position reports to the Senior Business Manager and will primarily support the Bentonville POS team, with additional support for the broader Bentonville team as needed to support client needs. The role partners closely with internal teams, warehouse operations, vendors, client business partners, and the Reprint Account Manager to maintain inventory integrity, streamline workflows, and provide data-driven insights that improve service, efficiency, and cost management.

REPORTING AND TEAM SUPPORT

  • Reports to the Senior Business Manager.
  • Primarily supports the Bentonville POS team with inventory management, reporting, and program coordination.
  • Provides growing support to the broader Bentonville team based on client requests and project demands.
  • Serves as a cross-functional partner to help improve visibility, consistency, and execution across programs.
  • Works closely with the Reprint Account Manager to compile and use inventory data, reporting, and replenishment insights for vendor order placement.

ESSENTIAL JOB FUNCTIONS

  • Manage and monitor inventory levels through reprints, category audits, historical usage trends, cycle counts, client feedback, and program requirements.
  • Maintain accurate inventory records and support timely reconciliation of discrepancies across internal systems, inventory reports, and operational processes.
  • Partner with client and internal teams to understand signing kit life cycles, reprint needs, replacement timing, and program changes; document updates and notes within inventory reporting.
  • Analyze inventory, operational, and program data to identify trends, risks, variances, and improvement opportunities.
  • Prepare consistent, accurate reports for internal teams and clients, including inventory status, push order needs, reprint activity, variance trends, and program updates.
  • Support breakeven analysis, cost review, and decision-making related to inventory levels, reprints, and program execution.
  • Become proficient in internal systems and help drive data cleanup, data integrity, process discipline, and reporting enhancements.
  • Partner with team members to cross-train, provide backup support, and ensure continuity across key inventory and program responsibilities.
  • Collaborate with warehouse teams and vendors to support accurate product movement, receiving, fulfillment, reprints, and order execution.
  • Identify root causes of inventory variances, shrink, excess inventory, stockouts, or process gaps, and recommend corrective actions.
  • Support continuous improvement initiatives that streamline workflows, improve reporting accuracy, strengthen controls, and increase overall team efficiency.

RETAIL PROGRAM SUPPORT

  • Validate program dates, timing, kit requirements, and schedule changes; communicate updates clearly to internal and client stakeholders.
  • Analyze program data and report trends in a clear, simplified, and consistent format for associates and clients.
  • Partner with the Reprint Account Manager to send push orders to vendors based on approved program needs, order details, and timing requirements.
  • Monitor and sustain inventory levels throughout the reprint process to help prevent shortages, delays, and excess inventory.
  • Coordinate client updates and adjustments related to timing, kits, quantities, inventory availability, and program execution.
  • Work closely with business partners to streamline program flow, improve handoffs, and reduce administrative friction.

QUALIFICATIONS

  • Bachelor’s degree in business or a related field preferred.
  • Proficiency with Microsoft Office, including Word, Excel, and PowerPoint, is required.
  • Advanced Microsoft Excel skills required, including pivot tables, lookup and reference formulas, logical functions, macros, subtotaling, number and text conversion, and data cleanup.
  • Microsoft Access experience preferred, including the ability to build and maintain databases.
  • Prior experience in retail support activities preferred.
  • Experience with Smartsheet preferred, but not required.
  • Strong analytical skills with the ability to interpret data, identify trends, investigate discrepancies, and summarize findings for decision-making.
  • Excellent organizational skills with strong attention to detail, follow-through, and the ability to manage multiple priorities and timelines.
