Support Specialist - Registrar Secretary


Job Title: Support Specialist - Registrar Secretary Reports To: Building Principal Classification: Paraprofessional (Clerical) Wage/Hour Status: Non-exempt Days: 223 Salary: See Compensation Plan for Paraprofessional/Administrative Support Staff, Pay Grade 204 Contract: None Date Revised: 11/15/2023 Primary Purpose: Responsible for the operation of the office of the Registrar. Qualifications/Skills:

Education/Certification:

  • High school diploma or equivalent.

Special Knowledge/Skills:

  • Minimum Assessment Standard: Broad knowledge of MS Word and basic knowledge of MS Excel.
  • Proficient word processing skills.
  • Ability to operate various office equipment (copier/fax machine).
  • Excellent verbal and written communication skills.
  • Ability to work with people effectively.
  • Strong time management skills.
  • Fluent in English (speaking and writing). Bilingual preferred.
  • Human relation skills.
  • Ability to exercise good judgement in performing responsibilities.

Experience:

  • Previous office experience preferred.
Major Duties and
Responsibilities:

Clerical Support:

  • Assist in the enrollment/withdrawal of students.
  • Receive and respond to inquiries on former students.
  • Organize and implement College Night program under supervision of the Registrar.
  • Assist in all phases of graduation (preparing program, ordering diplomas, caps and gowns, etc.).
  • Assist with correspondence, telephone, typing etc.

Records and Reports:

  • Maintain and update students' transcripts.
  • Collect pertinent data to complete files on withdrawn students.
  • Assist in preparation of U.I.L. documents required of all varsity athletes.
  • Prepare cumulative folders for microfilming.

Other:

  • Participate in cross-training.
  • Perform other duties as assigned.

  • Maintain emotional control under stress.
  • Work with frequent interruptions.
  • This position requires regular in-person interaction with the public.
