Job Summary:
The Planning & Scheduling Assistant is responsible for providing administrative, clerical, and coordination support to the Maintenance Department at the Donaldsonville site. This position supports maintenance personnel and contractors through document management, reporting, contractor administration, departmental coordination, and turnaround support activities. The successful candidate will play a key role in maintaining departmental systems, supporting maintenance and outage activities, and helping ensure organizational and operational effectiveness.
Job Description:
Job Responsibilities
  • Assist Maintenance Manager and Maintenance Superintendents with various departmental tasks and projects as needed.
  • Maintain Standard Maintenance Procedures (SMPs), lubrication data, office supplies, operating supplies, and departmental call-out lists.
  • Maintain and update the Maintenance Department intranet page and other electronic information repositories.
  • Oversee contract clerical activities, including timekeeping, activity updates, headcounts, and deadline tracking.
  • Maintain contractor contact lists and support contractor onboarding and administrative activities.
  • Maintain lists of contractors requiring computer, network, and system access.
  • Assist with Management of Change (MOC) activities and documentation as needed to support maintenance operations.
  • Perform audits of contractor rosters and related records to ensure compliance and accuracy.
  • Create, distribute, and maintain reports, meeting minutes, action item lists, and other departmental communications.
  • Provide clerical support and coverage for maintenance personnel during absences and periods of increased workload.
  • Support the Donaldsonville facility as necessary to help accomplish site goals and objectives.
  • Must be willing to work overtime, weekends, holidays, and flexible schedules to support maintenance activities, turnarounds, outages, and other business needs.

Internal Controls
Understands and complies with established departmental processes and procedures designed to support internal controls. Identifies and communicates potential internal control deficiencies to department management and promotes compliance with company policies and procedures.
Qualifications
  • High school diploma or equivalent required.
  • Five or more years of experience in a manufacturing facility, industrial environment, or engineering consulting firm preferred.
  • Strong proficiency with Microsoft Office applications including Word, Excel, Teams, Access, and PowerPoint.
  • SAP experience is preferred.
  • Ability to prepare accurate, organized, and professional documents with minimal errors.
  • Experience with SharePoint and other electronic document management systems preferred.
  • Strong written and verbal communication skills with the ability to effectively interact with personnel at all organizational levels.
  • Demonstrated organizational skills and ability to develop, maintain, and improve administrative control systems.
  • Must be willing to travel occasionally for training and business purposes.
  • Must be able to obtain and maintain a Transportation Worker Identification Credential (TWIC).
  • Must be able to pass drug and alcohol testing in accordance with company policy.
