Job description

Sample Coordinator

Support the Sales & Design departments by managing sample creation, stock inventory, and distribution, while also facilitating operational processes and communication across all teams and vendors.

  • Issue cut orders and color rotations for Openline and Quick ship program twice annually.
  • Work with Design to verify quality and additional product specifications.
  • Track and ship sales team sample sets at designated times.
  • Source and order yardage, issue cut orders and coordinate with both US and China sample makers for various sample and display needs.
  • Work with outside sample makers on order receipts and approvals.
  • Update existing sample sets with new additions or drops twice annually.
  • Update Sample Management program in teams app.
  • Coordinate with outside sample maker on inventory levels and operations as needed.
  • Coordinate cut orders for sampling.
  • Assemble contract binders as needed.
  • As applicable, order yardage internally and transfer to US Sample Maker
  • Collaborate with global team and US Sample makers to procure and assemble swatches ensuring quality standards are achieved.
  • Update Sample Management program on Monday.com.
  • Coordinate all window sampling.

Work with Design team to assemble samples and tag samples to ship to customers. Order samples, run report. Receive production cuts, maintain and organize fabric shelves each season. Maintain Design department archive samples. Organize and prep the show line for customer showings. Ship packages and samples daily both domestically and internationally.

  • 1-3 years' experience in a coordinating role for account management, sales, or design.
  • Experience in sample coordination and/or inventory management preferred.
  • Strong organizational skills, detail orientation, and time management skills required.
  • Proficiency in AS400 preferred.
  • Microsoft Excel and inventory tracking systems experience required.
  • Excellent communication and collaboration skills required.
  • Ability to manage multiple seasonal programs and priorities required.
  • Able to safely lift and handling samples up to 50lbs as needed.

HS Diploma or GED
