Job description

Eckert & Ziegler Radiopharma, Inc. (EZRI) is a US-based subsidiary of Eckert & Ziegler SE, a global leader in isotope technology for medical, scientific, and industrial applications. Our Wilmington, MA facility manufactures and distributes radiopharmaceutical products — including the GalliaPharm® Germanium-68/Gallium-68 generator — supporting nuclear medicine programs across North America.


As we continue expanding our commercial operations, we are seeking a driven, detail-oriented, and people-forward professional to serve as our GalliaPharm Sales Operations Specialist.


Position Summary

The GalliaPharm Sales Operations Specialist owns end-to-end commercial operations to support the GalliaPharm generator business in the US — including order management, customer records, inventory coordination, and reporting. This role is expected to modernize and automate historically manual workflows, leveraging AI tools, Microsoft Dynamics 365 (D365), and the Microsoft Power Platform to streamline forecasting, tracking, and reporting.


The ideal candidate is a natural communicator and people person who is comfortable engaging directly with customers. This role is expected to evolve to include greater customer-facing and sales support responsibilities over time — making it an excellent fit for someone who is operationally strong and genuinely energized by working with people.


Core Responsibilities:


Order Management & Customer Operations

  • Manage GalliaPharm generator customer orders, including collection and processing of purchase orders, order confirmations, and coordination of invoicing.
  • Communicate shipment details to customers and ensure timely delivery of invoices following generator delivery.
  • Coordinate generator returns, including return kits, Return Authorization (RA) numbers, customer communication, and coordination with the Wilmington Shipping Department.
  • Support generator accessory sales by providing quotes, securing POs, and coordinating shipments.
  • Prepare and issue customer quotations in accordance with internal pricing guidelines, incorporating applicable shipping costs.

Inventory & Contract Management

  • Maintain accurate inventory records in D365 and manage defined par levels for Wilmington inventory.
  • Track inventory, shipments, and balances owed to US customers in coordination with Germany.
  • Notify Germany of US customer shipments and track related charges for internal billing reconciliation.
  • Maintain an organized database of US customer records and key documentation, including contracts, confidentiality agreements, return agreements, invoices, and contact information.
  • Track key contract terms and proactively communicate important dates such as price adjustment notices and contract expiration timelines.

Process Automation & Reporting

  • Identify and implement opportunities to automate manual, Excel-heavy workflows using D365, Power BI, and Power Automate.
  • Leverage AI tools (e.g., Microsoft Copilot, ChatGPT for Enterprise, Claude, or equivalent) to draft communications, summarize contracts, extract key data, and accelerate routine deliverables.
  • Apply AI-assisted forecasting techniques to support demand planning for generators, HCl, and accessories.
  • Document and standardize automated workflows so they are repeatable, auditable, and transferable.
  • Partner with IT and finance to ensure data integrity across all systems and tools.
  • Generate standard operational reports (orders, backorders, returns, invoice status) and maintain reporting dashboards.

Customer & Cross-Functional Engagement

  • Participate in weekly coordination meetings with GmbH Customer Service.
  • Engage confidently and professionally with external customers by phone, email, and in person — with genuine enthusiasm for building relationships and representing EZRI positively.
  • Maintain customer-facing templates (order forms, quotes, shipping and return instructions) and manage US customer distribution lists.


Qualifications:

  • Bachelor’s degree in business, Life Sciences, Supply Chain, or related field; equivalent experience considered.
  • 3–5 years of experience in sales operations, customer service operations, or a related commercial support role — preferably in a regulated industry (pharma, medical device, or biotech).
  • Demonstrated comfort and confidence engaging directly with customers; a natural people person who builds rapport easily and does not shy away from customer-facing interaction.
  • Outstanding organizational skills and attention to detail.
  • Strong interpersonal communication and collaboration skills, both verbal and written.
  • Proficiency in Microsoft Dynamics 365 (D365) and advanced Excel (pivot tables, lookups, Power Query).
  • Demonstrated working familiarity with AI productivity tools (Microsoft Copilot, ChatGPT, or similar) and a genuine interest in applying them to operational workflows.
  • Experience with Microsoft Power Platform (Power BI, Power Automate) strongly preferred.
  • Prior experience automating reporting or forecasting workflows a plus.
  • Familiarity with GMP, FDA, or NRC-regulated commercial environments preferred.
  • Experience working across geographies and time zones (this role coordinates regularly with Germany).

Work Structure:

  • On-site in Wilmington, MA — full-time, Monday through Friday, 8:00 AM – 4:30 PM ET.
  • Flexibility required on an as-needed basis for early-morning or late-afternoon coordination with the GalliaPharm team in Germany (6-hour time difference), month-end/quarter-end activities, and time-sensitive customer matters.
  • Periodic travel for conferences, customer visits, training, and team meetings.
  • Reports to: Director of Sales, Nuclear Medicine – North America
