The Operations Coordinator is responsible for supporting the day-to-day operations of assigned customer accounts. This role includes processing orders, reconciling and paying vendor invoices, preparing lease contracts, and submitting transactions for booking in accordance with internal controls and company procedures. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.


Essential Functions:

  • Serve as the primary point of contact for assigned customer accounts, ensuring exceptional customer service and timely issue resolution.
  • Process and maintain accurate data entry for customer accounts, purchase orders, contracts, and lease documentation within required deadlines.
  • Prepare, review, and reconcile purchase orders, invoices, and lease documentation to ensure accuracy prior to booking and payment processing.
  • Collaborate with sales, customers, vendors, and internal departments to resolve outstanding issues and support operational efficiency.
  • Draft, review, and verify standard and non-standard lease contracts in compliance with internal controls and legal requirements.
  • Review all lease opportunities for completeness and accuracy prior to submitting transactions for booking.
  • Create and maintain lease files, UCC financing statements, and asset records to ensure accurate and up-to-date documentation.
  • Support additional operational and remarketing activities, including audits, reconciliations, and special projects as assigned.

Qualifications:

  • Minimum of 1 year of applicable work experience; bachelor’s degree preferred.
    Strong customer service, verbal, and written communication skills.
  • Excellent organizational skills, attention to detail, and ability to manage multiple tasks independently.
  • Proficiency in Microsoft Office applications, including Excel, Word, and Outlook.
  • Ability to reconcile invoices, analyze data for accuracy and consistency, and learn operational systems, reporting tools, and financial processes within the first six months of employment.

Additional Information:

This is a hybrid position, based in our Herndon, VA office, three days a week, with two days remote.
