Job description

Omega Morgan believes that each employee makes a significant contribution to our success.  That contribution should not be limited by the assigned responsibilities.   Therefore, this position description is designed to outline primary duties, qualifications and job scope, but not limit the individual nor the organization to just the work identified.   It is our expectation that each employee will offer his/her services wherever and whenever necessary to ensure the success of our endeavors.


Customer and Sales Administration
  • Serve as a primary point of contact for incoming customer calls and administrative requests, and route each request to the appropriate Sales team member.
  • Support customer onboarding and maintain accurate customer documentation.
  • Answer calls from Omega Morgan’s main phone line when Salesperson is not available, gather relevant customer and project details, and route each inquiry to the appropriate Sales team member for follow-up.
  • Coordinate customer vendor setup packages and follow up on missing information.
  • Assist with quotes, work orders, purchase-order requests, and customer billing or invoice reconciliation.
  • Maintain organized sales records and help ensure required customer documents remain current.
Prequalification, Contracts, and Compliance Support
  • Coordinate requests with Contracts, Safety, and Finance to complete customer prequalification requirements.
  • Complete and maintain prequalification submissions in platforms such as ISNetworld, Avetta, Veriforce, and ConstructSecure.
  • Coordinate certificates of insurance and collect licenses, certifications, and other supporting compliance documentation.
  • Track document expiration dates and renewal requirements, and follow up to keep records current.
  • Maintain authorized access records for vendor setup, licensing, and prequalification platforms in accordance with company practices.
Sales and Operational Coordination Support
  • Coordinate administrative handoffs between Sales and Operations for assigned jobs and projects.
  • Support the Sales leader and superintendent by keeping the job board current and assisting with daily dispatch communications as directed.
  • Track requests for rental equipment and help ensure equipment is called off rent promptly and accurately.
  • Track field-employee vacation information and process subsistence requests.
  • Identify missing information, follow up with the appropriate owner, and help resolve administrative issues before they delay customer or branch work.
General Administrative Support
  • Use Microsoft Office, CRM tools, SAP, and other office systems to maintain accurate information and support assigned workflows.
  • Communicate clearly with customers, employees, and cross-functional partners in writing and by phone.
  • Organize competing priorities, meet multiple deadlines, and follow through on commitments.
  • Support additional administrative work that contributes to the Sales team and branch's success.

Required Education and/or Experiences: 

  • Associate’s degree preferred, or 2 years of experience in sales and operational support or equivalent combination of education and experience. 
  • Microsoft Office programs, experience in Customer Resource Management (CRM) programs

Hours of Work and Travel:

  • This is a full-time, in office position and overtime will be required. Some travel may be required for training and other position-specific reasons.
