Job description

Sales Operations Coordinator (In-Office) — Newburgh, IN

The Opportunity

Evolv is hiring a Sales Operations Coordinator to keep our sales engine organized, accountable, and moving. This role sits at the center of CRM administration, sales activity tracking, appointment quality, reporting, and internal coordination. You’ll support sales leadership and the sales team by maintaining clean data, ensuring follow-up happens, monitoring appointment and call activity, and removing friction between sales, customer service, and deployment.

This is a strong fit for someone who is assertive, detail-oriented, process-driven, and comfortable holding people to standards—while staying professional, calm, and helpful. This position is in-office only in Newburgh, IN (not eligible for remote work).

About Evolv

Evolv is a payments and commerce enablement platform serving 20,000+ small and mid-sized businesses nationwide. We provide payment processing and merchant services, plus value-added business services like digital marketing, payroll, and accounting support. Our platform supports partners such as financial institutions, ISOs, ISVs, and associations—combining omnichannel payments, onboarding, operational support, and digital business tools into one ecosystem.

Our Vision

By 2030, Evolv aims to be the preferred commerce infrastructure partner for community financial institutions, ISOs, and embedded software providers. We’re building a scalable platform centered on partner-led distribution, operational consistency, and value-added services that improve merchant retention and profitability.

What You’ll Do

CRM Administration & Sales Operations

  • The Sales Operations Coordinator will administer and maintain our CRM (MAC): users, records, data quality, and updates
  • Add and maintain CRM users for employees and referral partners
  • Ensure leads are documented correctly (notes, dispositions, tasks, next steps)
  • Manage lead queues so the right leads get worked at the right time
  • Identify opportunities where meetings occurred but applications haven’t been submitted/signed; drive next-step follow-up
  • Verify reps set reminders/tasks for future follow-up; re-queue leads when needed
  • Generate reporting and insights that support daily execution and sales goals

Activity Tracking & Appointment Quality

  • Monitor appointment-set quality and identify patterns impacting conversion
  • Monitor call logs/outreach activity; flag gaps in follow-up discipline
  • Monitor rep calendars and scheduling accuracy (including drive-time logic) to protect productivity
  • Track appointment sets, product approvals, and follow-up commitments
  • The Sales Operations Coordinator will help ensure key affiliation/referral sources are worked consistently

Partner Referral Responsiveness & Internal Accountability

  • Help sales leadership track outreach timeliness to new referrals (bank/partner channels)
  • Surface potential rep issues (missed follow-up, incomplete documentation, product knowledge gaps) to Sales Management
  • Coordinate with reps and CRM support to improve productivity and consistency

Customer Support & Deployment Coordination (Backup Coverage)

  • The Sales Operations Coordinator will support email workflows from deployment/install teams when issues arise
  • Contact merchants to confirm issues and attempt resolution when appropriate
  • Communicate delays/changes to sales reps clearly and promptly
  • Partner with reps, merchants, and trainers until a deal is installed or closed out
  • Work with customer service on escalation/“flight risk” tickets to protect retention

Sales Leadership & Office Support

  • Assist with onboarding logistics for new employees (computers, phones, workstation setup)
  • The Sales Operations Coordinator will maintain supply inventory; coordinate with vendors for phone/computer issues
  • Provide coverage support for the Director of Sales when not present

What Success Looks Like

  • Follow-up happens on time; fewer stalled opportunities after meetings
  • Appointment quality improves; better-fit meetings and cleaner handoffs
  • Sales leadership has reliable reporting and early-warning visibility
  • Deployment issues are handled quickly with clear communication and documented outcomes
