Proposal Specialist โ€“ RFP/RFQ/RFI Management

Tampa, 33624

$19-$22/HR based on experience

8am-5pm Monday-Friday, Remote every Friday

We are seeking a highly organized and detail-oriented Proposal Specialist to support our growing national sales team. This role is responsible for managing the full lifecycle of RFI, RFQ, and RFP responses, including reviewing solicitation documents, coordinating internal stakeholders, and producing high-quality, compliant proposal submissions. The ideal candidate has strong analytical skills, excellent writing ability, and experience navigating procurement portals in a fast-paced, deadline-driven environment.

Key Responsibilities
  • Review and vet RFP/RFQ/RFI documents to determine bid viability

  • Serve as the central point of contact for all proposal-related requests

  • Manage bid and procurement platforms for proposal submissions

  • Analyze solicitation requirements to ensure full technical and compliance alignment

  • Coordinate with Sales, Operations, and Pricing teams to gather required content

  • Conduct fact-finding calls to clarify scope, requirements, and deliverables

  • Write, edit, and format proposal responses using company templates and proposal library

  • Compile final proposal packages, ensuring accuracy, consistency, and professional formatting

  • Track proposal timelines, deadlines, and daily status updates

  • Maintain electronic proposal files and manage proposal library software

  • Complete vendor registrations and pre-qualification documents

  • Support post-submission follow-ups and additional documentation requests

Qualifications
  • Minimum 2 years of proposal development or administrative experience

  • Bachelorโ€™s degree in Business, Communications, Marketing, or related field (or equivalent experience) preferred

  • Experience responding to government or commercial RFPs (service industry preferred)

  • Proficiency with procurement portals and cloud-based proposal management systems

  • Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint)

  • Adobe Suite experience preferred

  • Strong writing, editing, and proofreading skills

  • Exceptional organization, time management, and attention to detail

  • Ability to manage multiple deadlines in a fast-paced environment
