What does a resort reservations agent do?

A Resort Reservations Agent is responsible for assisting guests with booking accommodations at a resort. They handle inquiries about room availability, rates, and amenities, and process reservations via phone, email, or online platforms. Additionally, they provide information on resort services, assist with special requests, and ensure guest details are accurately recorded to guarantee a smooth check-in experience. Their role is essential in delivering excellent customer service and maximizing occupancy for the resort.

What are the key skills and qualifications needed to thrive as a resort reservations agent, and why are they important?

To thrive as a Resort Reservations Agent, you need strong customer service skills, attention to detail, and experience in hospitality, often supported by a high school diploma or equivalent. Familiarity with property management systems (PMS), reservation software, and booking platforms is typically required. Excellent communication, problem-solving abilities, and a friendly demeanor help agents build rapport and handle guest inquiries efficiently. These skills are vital for ensuring a seamless guest experience, maximizing bookings, and maintaining the resort's reputation.

What are some common challenges faced by resort reservations agents and how can they be managed?

Resort Reservations Agents often manage high volumes of calls and inquiries, particularly during peak travel seasons, which can be challenging. Handling guest requests, last-minute changes, and occasional complaints while maintaining a positive and professional attitude requires strong communication and problem-solving skills. Effective time management and familiarity with reservation systems help agents stay organized and efficient. Building good relationships with colleagues in other departments, such as front desk and housekeeping, also enhances the ability to resolve guest issues quickly and provide seamless service.

What is the difference between Resort Reservations Agent vs Hotel Front Desk Agent?

Job description

This is a great opportunity for someone who enjoys talking with people, helping guests plan their stay, and making sure the details are taken care of. As a Reservations Agent, you’ll be one of the first points of contact for many of our guests, helping them make reservations and answering questions about their upcoming visit to Chico.

What You'll Do
  • Answer incoming phone calls and assist guests with questions about Chico Hot Springs.
  • Book, modify, and manage lodging reservations.
  • Book and assist with restaurant reservations.
  • Provide guests with accurate information about the resort, accommodations, dining, amenities, and activities.
  • Make outgoing calls to upcoming guests to confirm reservation details and help ensure everything is in order before their arrival.
  • Assist guests with changes, special requests, and other reservation needs.
  • Communicate professionally and warmly with guests by phone and other channels as needed.
  • Work closely with the Front Office and other resort departments to ensure guests have a smooth experience.
  • Maintain accurate reservation information and follow established Front Office procedures.
  • Help create a welcoming and memorable guest experience from the very first phone call.
What We're Looking For

We're looking for someone who is:

  • Friendly, personable, and comfortable talking with guests over the phone.
  • Organized and able to manage multiple reservations and requests accurately.
  • A clear and professional communicator.
  • Comfortable using computers and learning new software systems.
  • Dependable and able to work independently during scheduled shifts.
  • Patient and solution-oriented when helping guests with questions or changes.
  • Someone who genuinely enjoys hospitality and helping people.

Previous hotel, resort, reservations, or Front Office experience is preferred. Experience with Opera or other hotel/front office reservation software is a plus, but we are willing to train the right person. If you’re looking for a part-time position where you can interact with guests, work with a great hospitality team, develop front office skills and be part of a truly unique Montana property, we’d love to meet you!
