Job description

Replenishment Coordinator

We are looking for a highly organized and detail-oriented Replenishment Coordinator to assist the Senior Replenishment Manager in ensuring smooth and accurate order processing, inventory tracking, and replenishment planning. This role supports day-to-day operational tasks and acts as a key link between sales, production, and warehouse teams to help fulfill customer needs efficiently and on time.

Key Responsibilities:

Order Management & Fulfillment Support

  • Assist in the processing of customer purchase orders through our ERP system (Exenta).
  • Support the Senior Replenishment Manager in reviewing EDI transactions (e.g., 850s) and resolving any related errors.
  • Help track orders from receipt through allocation and fulfillment, ensuring warehouse teams receive accurate pick information.
  • Compare quantities received in Exenta against customer portals (e.g., Retail Link) to confirm data accuracy.
  • Send open order reports to the warehouse and follow up for routing confirmations as directed.
  • Track trucking schedules and assist in coordinating timely pickup appointments.
  • Monitor the receipt of 945s and help ensure ASNs (Advance Shipping Notices) are sent on time.
  • Provide weekly updates to the sales team on order status, as directed by the Senior Manager.
  • Communicate with warehouse on all logistical issues for replenishment accounts.

Inventory & Replenishment Assistance

  • Help input sales forecasts and bulk order data into the system.
  • Assist with analyzing inventory levels and sales trends to support replenishment planning.
  • Collaborate with the Senior Manager to identify potential stockouts and communicate with sales as needed.
  • Support the management of the active product catalog and assist in notifying teams of product discontinuations.
  • Contribute to the preparation of weekly reports on in-stock rates, on-time performance, and OTIF (On Time In Full) metrics.

Direct-to-Customer (DTC) Operations Support

  • Assist with ensuring DTC orders are properly allocated and dropped to the warehouse.
  • Help investigate and resolve any issues causing delays in order processing or shipping.
  • Compare inventory levels in customer portals with outgoing inventory feeds (846) to ensure accuracy.
  • Support DTC inventory tracking and alert the team to any replenishment needs

Qualifications:

  • Associate degree or higher preferred, or equivalent relevant experience.
  • 1โ€“3 years of experience in replenishment, order management, inventory, or supply chain operations.
  • Experience with Exenta/Simparel ERP is a strong plus.
  • Proficient in Microsoft Excel; able to manage and analyze data effectively.
  • Strong communication and organizational skills; able to manage multiple tasks and timelines.
  • Comfortable working cross-functionally with warehouse, sales, and production teams.
  • High attention to detail, with a proactive and solution-oriented mindset.

NY Pay Transparency:

The pay range for this position is ($55,000 โ€“ 65,000) annually based on skills and experience.
