As a Facilities Coordinator, you will help ensure the client's field offices run smoothly by owning the operational details behind leases, invoices, utilities, and workspace setup. You'll be a key partner to landlords, vendors, and internal client teams-making sure the clients Corporate Real Estate team remain organized, compliant, and responsive. This role is equal parts coordination and follow-through: you'll track moving pieces, keep stakeholders informed, and close the loop so nothing falls through the cracks. If you're someone who loves creating clarity, streamlining processes, and being the go-to person who makes things work, this role is for you.

How You Will Contribute
  • Manage real estate operations communications with landlords, vendors, and internal teams
  • Ensure lease documentation is accessible and accurate
  • Audit the client's internal real estate database to confirm lease data accuracy and resolve discrepancies
  • Coordinate furniture purchasing, shipping, delivery, and installation
  • Ensure furniture and equipment assets are logged in client's internal asset management tracker to ensure compliance
  • Request Certificates of Insurance (COIs) for new offices and provide certificates to landlords as needed
  • Support landlord/vendor accounts payable setup
  • Communicate fully executed lease terms to client's internal partners
  • Coordinate utility activations and terminations; partner with utility aggregators to ensure account creation and payment
What You Will Bring
  • Experience in administrative, operations, real estate, facilities, or office management (or related) roles
  • Strong attention to detail and customer service
  • Experience with or ability to learn applications, tools, or systems related to accounting, lease management, service management, asset management systems
  • Ability to manage multiple workstreams simultaneously while ensuring responsiveness and organization
  • Clear, proactive communicator who can coordinate across internal teams and external partners to drive completion and create value for customers
  • A strong sense of ownership

Estimated compensation for this position:

55,300.00 - 67,750.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
