What will you do?
As a Senior Project Administrator, you will play a key role in keeping projects running smoothly from setup through closeout, partnering with project leaders to deliver accurate, timely administrative support. You'll help drive project success by managing project data, contracts, invoicing, documentation, and proposals while ensuring operational excellence every step of the way.
Essential Job Functions:
  • Responsible for supporting the engineering team in the successful completion of projects
  • Create invoices and/or ensuring invoicing is completed
  • Set up projects in the company ERP system, including work break down structure defined by the project leader
  • Assist with creating project plans
  • Tracking project budgets, using health trackers, internal tools, etc.
  • Assist project leaders with managing hardware project Bill of Materials, including interfacing with purchasing on material buys, tracking project inventory, managing reordering consumed materials, monitoring material expiration dates
  • Generate budget and schedule reports, for internal use and for clients
  • Use time management and organizational skills to help the team stay on track
  • Assist project leaders with scheduling and managing meetings
  • Coordinate with finance team
  • Provide support as needed for client management and reviews
  • Provide budget and schedule reports
  • Work with the engineering team to update project planning and budgets
  • Participate in Quartus internal process administration

Location
Position is based in San Diego with a hybrid schedule.*
*The hybrid work arrangement is subject to change based on business needs including but not limited to training, performance, or other operational requirements. Any physical location change may impact future employment.
What are we looking for?
  • Bachelor's Degree in Accounting, Finance, Business or related discipline and a minimum of 2 years of experience in project/program scheduling, planning, and control, supporting full-cycle projects
  • Advanced Excel skills required, including data analysis, formulas, and reporting
  • Experience with SAP Business ByDesign or similar ERP/project management systems is a plus
  • Strong analytical skills with the ability to collect, interpret, and present accurate financial and schedule data in a fast-paced environment
  • Able to manage personal workload, prioritize multiple projects, and meet deadlines independently
  • Effective written and verbal communication skills supporting collaboration across internal and external teams
  • Positive, team-oriented mindset with a commitment to accuracy, quality, and continuous improvement
  • Ability to follow direction, adhere to procedures, and produce consistent, high quality work outputs
  • Strong time management and organizational skills for supporting multiple concurrent projects
  • Must be a US Person (US Citizen or US Permanent Resident)

Compensation and Benefits
Senior Project Administrator pay range: $34/hour - $56/hour*
*This range represents base pay. In addition, you may be eligible for additional benefits and compensation.
