Job description

Johnson Service Group (JSG) is seeking a Human Resources Coordinator. This position is remote.  Must live in the Pacific Standard Time zone
Work Schedule:  Monday - Friday 8:00 am- 5:00 pm
Hourly rate:  $22.00-$25 per hour

3+ month temporary position. Business needs will determine whether the contract is extended.
JOB DESCRIPTION SUMMARY
This position reports directly to the Manager, Human Resources, and is responsible for coordinating functions and duties in support of projects and programs for the human resources department. This role will include support in various human resource functions, including training, payroll, safety, operations, and employee engagement.

QUALIFICATIONS
• Bachelor’s degree in human resources or related field and 3-5 years of direct experience working in an administrative role in a highly generalized human resources department, or six (6) years of direct experience as an HR Coordinator in a mid-sized company, preferred.
• Moderate knowledge of CA employment laws, Employee Retirement Income Security Act (ERISA), Internal Revenue Service (IRS) regulations, and other human resource compliance issues.
• Strong written and verbal communication skills, including the ability to communicate with all levels within the organization.
• Strong ability to work efficiently and effectively in a multi-project, multi-demanding environment.
• Strong organizational skills; able to effectively prioritize assignments and competing deadlines in a fast-paced environment.
• Ability to handle sensitive situations and confidential information with discretion.
• Proficient in Microsoft Word, Excel, Outlook, video chat technology, and human resources information systems (HRIS). Experience working with Paycom and Jobvite is highly desirable.
• Proficient with Citrix suite of products (e.g., host setup, session creation, etc.)
• Some prior experience in planning employee-related functions, including employee engagement committee trainings and various meetings.
• Internet access provided by a cable or fiber provider with 40 MB download and 10 MB upload speeds.
DUTIES AND RESPONSIBILITIES
HR Department Support
• Assist recruiting team with new hire on-boarding when necessary.
• Enter new hire information and maintain employee data in the HR information systems (e.g. Paycom, Halogen, Jobvite, etc.).
• Audit New Hire Files
• Manage Paycom Document Management files.
• Support HR projects including the annual benefits enrollment, 3A+ performance reviews, merit increase process, department audits, training etc.
• Support department audits and partner with other generalists to ensure completion and submission.
• Prepare, review, and reconcile company benefit billings and submit them for payment on time. Coordinate logistics for training events within the department.
• Support payroll processing by assisting with communication with management and employees.
• Act as the backup for the Front Desk Admin when necessary.
Administrative Support
• Prepare employee personnel files for filming/scanning and long-term storage.
• Manage all employee personnel file requests.
• Assist with requests for employment verification.
• Respond to internal HR related inquiries through the HR ticketing system.
• Maintain the DMV Pull Program
• Prepare file for all Education reimbursements for HR Management approval.
• Provide administrative support to HR Management.
Systems Support
• Create ad hoc reports, manage training enrollment, and assist in maintaining distribution lists.
• Assist in updating and maintaining Halogen users lists and enrollments.
• Assist with PowerBI dashboard data updates.
• Assist with user management for all HR systems; this includes troubleshooting for users.
• Manage the HappyFox (SERV) ticket queue, including assigning tickets to agents
• Assist with SharePoint Administration and other duties as assigned.
