Document Control Assistant

Full-Time | Temporary Position


The temporary Document Control Assistant is responsible for supporting records management, document control, and electronic document management activities. This role ensures the accuracy, organization, and integrity of digital records by auditing file repositories, validating document quality, maintaining metadata, and supporting compliance with organizational standards.


 What You’ll Do

    • Audit and organize shared drives by creating and implementing a standardized folder structure, enforcing consistent file naming conventions, and developing a comprehensive inventory of existing files to improve accessibility, reduce duplication, and support document governance.
    • Verify that scanned documents accurately match original source documents by confirming content, completeness, legibility, formatting, resolution, and file integrity prior to final acceptance.
    • Validate uploaded documents and associated metadata within the Electronic Document Management System (EDMS) to ensure completeness, accuracy, and compliance with established standards.
    • Conduct and maintain a comprehensive inventory of applicable codes and standards, document current pricing information, and organize materials into a structured and accessible reference system.
    • Perform data entry and records management activities in accordance with established records management and electronic document management best practices.
    • Validate and verify data for accuracy, consistency, and completeness across multiple systems.
    • Assist with document management initiatives, process improvements, and other special projects as assigned.


     What You’ll Bring

     Preferred Qualifications

      • Experience with Electronic Document Management Systems (EDMS), such as DevonWay, Documentum, or similar platforms.
      • Knowledge of records management principles and best practices.
      • Experience with metadata management and document indexing.
      • Data analysis and reporting experience.
      • Quality assurance experience related to scanned documents and electronic records.
      • Familiarity with document control, compliance, or regulated environments.


       Important Note


      This is a temporary, full-time position scheduled for 40 hours per week for a duration of up to six (6) months. This position is not eligible for company-sponsored benefits.
