What this job involves - The Project Coordinator is responsible for various processes related to space projects, space resets, customer satisfaction, as well as transparency and reconciliation of costs associated with all space related activities. Responsibilities for this role include, but are not limited to, planning, implementation, and delivery of space related projects across various buildings.
Project Activities
Customer Experience
  • Manage all new hire onboarding information - reach out to admins/managers
  • Update project matrix, fill in customer information, technical requirements
  • Communicate with client on upcoming projects and impact on business

Project Planning
  • Gather details needed for project initiation and coordinate kick-off meetings with proper teams
  • Review space change requests as a team to ensure the best utilization of available space
  • Review private room requests to provide users dedicated office spaces throughout the campus
  • Conduct site visits with stakeholders to grasp full understanding of client request
  • Populate and maintain Gantt charts and adhere to project timelines in order to meet project deliverables

Project Execution
  • Maintain, update, and distribute accurate status updates to the project schedule and provide regular reporting stakeholders on project progress
  • Act as liaison between facilities teams and the vendors, communicating any change requests to stakeholders
  • Prepare, maintain, and distribute communications related to recurring project requests, schedules, and progress
  • Track vendor supplied items and coordinate dates of delivery with Project Managers, IT, and vendors to confirm deliveries coincide with requirements to meet project deadlines
  • Consistent follow up with vendors on all project related action items
  • Submit service tickets requesting test fits, CAD files, space cleanings, including other project related activities

Project Closeout
  • Aid in the build out of standard operating procedures for project related activities
  • Review the space projects post completion, documenting lessons learned and best practices to improve efficiency
  • Assist the project team with essential administrative and day to day responsibilities

Move Activities
  • Schedule movers and alert security, provide all names for badging.
  • Schedule disconnects and reconnects of computer, servers, printer, and phones.
  • Operate check-outs, check-ins, manage all locations, making sure all clients are where they are supposed to be.
  • On site for all vendors and customers during move.
  • Review completed move and make adjustments with vendor.
  • Coordinate vendors for installation of power/data as required.
  • Submit service tickets to have space cleaned, keys and chairs at desk.

Post Move Follow Up
  • Provide welcome communications with information on new location and site services.
  • Troubleshoot all lost or misplaced items.
  • Schedule vendor for scrap pick up, recycle or reuse excess furniture, and remove chairs
  • Coordinate pick up of crates and/or boxes.
  • Following projects and incremental moves, update seat assignment for accurate reporting
  • Other projects, special assignments, and administrative duties as assigned

  • 1- 2 years experience in a fast paced high functioning environment

  • Excellent written and verbal skills

Estimated compensation for this position:
59,600.00 - 69,795.00 USD per year
This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
