GRADE/CLASS: Grade C, Non-Exempt, Non-Union

PRIMARY FUNCTION
The Regional Coordinator provides a broad range of administrative and project management support to the Regional Director and the regional office, including board and governance support, calendar and scheduling management, event coordination and general office operations. This role is central to the day-to-day functioning of the regional office and works closely with every department to keep programs, fundraising and Regional Director priorities moving forward.
Responsibilities
Primary:
  • Provide comprehensive administrative and project management support to the Regional Director, including managing the Regional Director's calendar, booking speaking engagements and scheduling meetings;
  • Coordinate various board functions, with support from the Deputy Regional Director, including scheduling, communications and logistics;
  • Maintain accurate and up-to-date community partner, volunteer, and committee lists, and produce minutes for Board, committee and other regional meetings; assist with maintenance and accuracy of regional information in National databases (e.g., Salesforce);
  • Work closely with all departments on a wide range of administrative needs, serving as a key point of connection across the regional office;
  • Coordinate the timely processing of check requests, contracts and donation transmittals;
  • Serve as a primary point of contact for general office inquiries and voicemails, ensuring timely and professional responses;
  • Coordinate and provide end-to-end project management support for regional events and special events;
  • May serve as a liaison between the Regional Office and the National Office on matters of technology and administrative systems.

Secondary:
  • Provide support in creating and posting digital media content, including Regional social media accounts, web pages, e-newsletters and other platforms as needed;
  • May serve as a point of communication for external contacts and stakeholders.
  • Identify and recommend venues and vendors to serve regional office needs.

Qualifications
Skills:
  • Strong computer and systems skills (Word, Excel, PowerPoint, Canva, Zoom administration and databases), plus comfort with project management and collaboration tools (e.g., Slack, MS Project); Salesforce/Marketing Cloud experience a plus;
  • Demonstrated ability to prioritize to complete projects on deadline in a fast-paced environment;
  • Exceptional organizational skills and attention to detail;
  • Customer service orientation, able to represent the Regional Director and ADL professionally with board members, donors and community partners;
  • Familiarity with social media best practices and platforms.
  • A curious, analytical approach to problem solving and a motivated, collaborative team player.
  • Self-starter that explores solutions and innovative approaches with little prompt

Work Experience:
  • The ideal candidate has several years of professional experience, including providing administrative and/or executive support in a fast-paced office environment (on-campus student worker positions will be considered).

Education:
  • Bachelor's degree or equivalent experience required.

WORK ENVIRONMENT
  • ADL is a hybrid environment; this role will require 3 days/week in the office.

COMPENSATION
  • This position has a salary range of $60,000 to $65,000. This salary range is reflective of a position based in Washington, DC. Please note that actual salaries are commensurate with experience and reflect the budget for a given position, and since ADL has a location-based compensation structure, there may be a different range for candidates in other locations.
