Job description

We are seeking a highly organized and detail-oriented Recruiting Coordinator to support our Talent Acquisition team on a contract basis. This individual will play a critical role in coordinating the recruiting process from initial candidate outreach through onboarding. The ideal candidate thrives in a fast-paced environment, enjoys working with people, and excels at managing multiple priorities while providing an exceptional experience for both candidates and hiring managers.

The Recruiting Coordinator will partner closely with recruiters, hiring managers, and HR to ensure an efficient hiring process and maintain accurate recruiting documentation throughout the candidate lifecycle.

Key Responsibilities

  • Coordinate interviews between candidates, recruiters, and hiring managers.
  • Schedule phone, virtual, and onsite interviews while managing calendars across multiple stakeholders.
  • Serve as the primary point of contact for candidates throughout the interview process.
  • Maintain applicant tracking system (ATS) records, ensuring candidate information is accurate and up to date.
  • Prepare interview schedules, confirmations, and candidate communications.
  • Assist recruiters with posting job openings across multiple job boards and company career pages.
  • Conduct reference checks, employment verifications, and background screening coordination as needed.
  • Support onboarding activities, including new hire paperwork and orientation scheduling.
  • Track recruiting metrics and prepare reports for the Talent Acquisition team.
  • Assist with recruiting events, career fairs, and hiring initiatives.
  • Coordinate offer letters and ensure all required documentation is completed prior to hire.
  • Maintain confidentiality of candidate and company information at all times.
  • Provide administrative support to the recruiting and HR teams on special projects as assigned.

Qualifications

  • High school diploma required; Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred.
  • 1–3+ years of recruiting coordination, human resources, administrative support, or talent acquisition experience.
  • Experience scheduling interviews and coordinating multiple calendars.
  • Familiarity with Applicant Tracking Systems (ATS) such as Greenhouse, Workday, iCIMS, Lever, UKG, Taleo, or similar platforms.
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to prioritize multiple tasks while meeting deadlines in a fast-paced environment.
  • Professional demeanor and commitment to providing an outstanding candidate experience.
