Job description

Waldorf University has an immediate opening for a clerical position supporting the Music Department. The primary responsibilities of the Music Office Assistant will include performing general administrative support and reception functions for the department. This is an hourly, 15-18hr/wk, 10mo position coinciding with the Waldorf academic calendar (August-May). The weekly schedule will be agreed upon at the time of hire to be established M-F between the hours of 9am and 5pm, and then adjusted as needed based on academic scheduling needs semester to semester. Occasional event assistance if needed outside of daytime hours including evening/weekends. This position will report to the Music Department Chair in coordination with the Choral and Instrumental Directors.
The successful candidate will be friendly and welcoming, highly organized and motivated to work in an active and creative environment. Must be adaptable and flexible to meet needs and activities.
RESPONSIBILITIES & JOB DUTIES
  • Administrative Assistant functions for department including reception, answering phones, scheduling meetings, daily mail distribution
  • Prepare and distribute minutes/action items and schedule follow ups for department meetings
  • Assist with and follow up on Business Office communications (purchase orders, check requests, copy counts...)
  • Manage licenses and software used by the Music Department
  • In coordination with Ensemble Directors, prepare and manage LOI's and Scholarship notices, update recruiting database/tracking, assist with recruiting communications and audition materials
  • Maintain Calendar of Events for university website and social media platforms
  • Assist with preparing/proofing music department event-related program/materials, event scheduling and coordination
  • Assists department members and students with general office support and resources
  • Coordinate schedules for student workers and provide directions in concert with Department Chair
  • Responsible for maintaining department files, supplies, and orderly workroom
  • Other duties as assigned

QUALIFICATIONS
  • Minimum of Associate's Degree or significant experience with detailed clerical support preferred
  • Skilled in attention to detail and organizational management
  • Genuine interest and enthusiasm for a university setting, working with students, and music and fine arts
  • Demonstrated ability to recognize and balance competing priorities, deadlines and fluctuating volumes of work
  • Mindset and appreciation confidentiality requirements and sometimes sensitive information within the Music Department office and University in general (FERPA).
  • Demonstrated ability to efficiently and effectively solve problems and initiate and implement projects independently
  • Effective speaking, active listening, reading, and writing communication skills
  • Knowledge of Microsoft Office, including Word, Outlook, & Excel; other software support programs
  • Ability to represent the office and the University in a professional manner with a commitment to the mission and goals of Waldorf University
