Job Description Summary
The University of South Alabama's College of Engineering is seeking to hire an Academic Records Supervisor. Interested candidates should apply to be considered.
Essential Functions
These are the job duties required of the position.
Essential Functions
  • Supervises the activities of academic records staff to include departmental secretaries.
  • Ensures that the academic records staff performs a variety of duties necessary for the maintenance of student academic records and transcripts.
  • Supervises all changes to the master student file and active transcript file.
  • Supervises the verifying, correcting and filing of various quarterly reports.
  • Advises students as to academic requirements and counsels students about academic standing, grade point average, etc.
  • Works with Computer Center personnel to establish new or revised programs for maintaining academic records.
  • Works with Deans of the College of Engineering in matters relative to admission of new and transfer students and clearing students for graduation.
  • Acts as receptionist for the office of the Dean and provides secretarial support to the assistant and associate deans.
  • Processes Curriculum Action Forms
  • Creates and maintains the Degree Audit module for the college.
  • Advises the college's academic departments in regards to the Banner database.
  • Advises students and staff on the appropriate usage of PAWS.
  • Answers questions about university and college policies and procedures.
  • Routes, tracks, and files graduate student applications.
  • Advises the Dean and Registrar of changes to graduation candidates list each semester.
  • Coordinates student evaluations of faculty and prepares summaries.
  • Coordinates course and classroom scheduling through Banner and EMS, textbook orders, and updates of college bulletins.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and overtime as required.
  • Related duties as required.
