What does the NPC Scheduler Supervisor Do?
Under general direction, the Scheduling Supervisor is responsible for leading the daily operations, performance, and workflow of the New Patient Coordinator (NPC) team. The Scheduling Supervisor provides guidance, coaching, training, and operational support to ensure timely referral processing, patient scheduling, medical records retrieval, and exceptional customer service.
This position partners closely with providers, site leadership, clinical teams, and operational leadership to support patient access initiatives, optimize scheduling workflows, and ensure adherence to organizational standards, established processes, and compliance requirements. The Scheduling Supervisor is responsible for monitoring productivity, quality, service, and access metrics; identifying workflow improvement opportunities; supporting employee development; and ensuring consistent execution of referral and scheduling processes. The role supports the US Oncology Compliance Program, including the Code of Conduct, Code of Ethics, Business Standards, and organizational Shared Values.
Responsibilities
The essential duties and responsibilities (including but not limited to):
- Must be willing and able to travel throughout the assigned region as business needs require, including Arlington, Azle, Bedford, Cleburne, Corsicana, Dallas, Fort Worth, Granbury, Grapevine, Irving, Keller, Mansfield, Midlothian, and Weatherford.
- Must be willing and able to work a flexible schedule, including occasional hours outside of normal business hours, as needed to support operational needs, employee development activities, training, meetings, workflow implementations, patient access initiatives, and other business requirements.
- Provides direct supervision, coaching, development, and support to New Patient Coordinators.
- Conducts regular one-on-one meetings, performance discussions, workflow reviews, and quality audits.
- Assists with recruitment, interviewing, onboarding, training, and retention activities.
- Monitors employee productivity, quality, communication, attendance, and workflow adherence.
- Identifies performance gaps and provides coaching, feedback, and development opportunities to support improvement.
- Participates in performance evaluations, goal setting, corrective action, and employee development planning.
- Oversees daily referral management and scheduling operations to support timely patient access.
- Monitors referral volumes, work queues, scheduling timeliness, and appointment availability.
- Supports resolution of complex scheduling issues and escalated patient access concerns.
- Collaborates with providers, site leaders, and clinical teams to address scheduling barriers and capacity opportunities.
- Monitors Days to Appointment (DTA), referral turnaround times, and other operational performance metrics.
- Supports implementation of patient access initiatives, workflow enhancements, and operational improvement efforts.
- Ensures required records retrieval efforts are completed and documented in accordance with established workflows.
- Reviews referrals, scheduling activities, and records management processes to ensure compliance with organizational expectations.
- Conducts quality audits and provides feedback regarding workflow adherence, documentation standards, and scheduling accuracy.
- Serves as an escalation point for providers, site leaders, and internal stakeholders regarding scheduling and referral concerns.
- Maintains collaborative working relationships with physicians, Advanced Practice Providers, nursing teams, practice leadership, and operational partners.
- Supports service recovery efforts and assists with provider communication when operational concerns arise.
- Reviews departmental metrics and prepares reports to support operational decision-making.
- Identifies workflow trends and develops action plans to improve quality, efficiency, and patient access.
- Participates in regional initiatives, meetings, and projects related to patient access and operational excellence.
- Ensures compliance with HIPAA, organizational policies, and regulatory requirements.
- Maintains confidentiality of patient, employee, and business information.
- Performs New Patient Coordinator duties when operational coverage is needed.
- Performs additional duties as assigned.
Qualifications
The ideal candidate for the Scheduler role will have the following background and experience:
- High School Diploma or equivalent required.
- Minimum five (5) years of healthcare scheduling, referral management, patient access, or medical practice experience required.
- Minimum two (2) years of leadership, supervisory, lead, or mentoring experience preferred.
- Oncology or specialty practice experience preferred.
- Medical Assistant experience is highly preferred.
- Experience with provider scheduling, referral management, patient access workflows, and medical records coordination preferred.
- Proficiency in electronic medical record (EMR) systems and Microsoft Office applications required.
- Must be willing and able to travel to all sites within the assigned region as business needs require.
- Must complete required e-learning courses within 30 days of hire.
