HERE'S WHAT YOU'LL BE DOING
Administrative Assistant V Position 1
  • Assist staff in compiling information, proofreading data, preparing correspondence and mailouts, copying and distributing reports, and coding reports for central records, assist in the development of SOPs and guidelines.
  • Assist with answering telephones and distributing calls and messages. Greet visitors and direct them to appropriate staff. Receive and route incoming packages, mail, faxes and electronic documents.
  • Develop and/or maintain databases for tracking information and producing spreadsheets and maintain filing systems. Assist in the implementation of efficiencies to these tracking mechanisms.
  • Work closely with the Records Administrator to ensure agency records management policies and procedures are followed in the division to include records retention, storage, access, and destruction. Assist in the communication of new procedures and coding.
  • Compile information and review data relative to reference information for staff and public and/or private entities issues.
  • Assist with general office activities and support services such as travel, procurements, etc., and coordinate administrative assignments/tasks with other staff in the region. Assist with training new administrative staff regarding the program area.
  • Interpret administrative rules, regulations, policies and procedures related to program area, and communicate with agency staff, management and the general public.

Administrative Assistant V Position 2
  • Respond to Public Information Requests (PIRs) for Air, Water, and Waste regulatory programs, ensuring compliance with the Texas Public Information Act and related procedures. Interpret requests and queries databases for responsive information. Coordinate fulfillment of requests with the Central File Room, Copy Center, and Program Area contacts. Track progress of assigned PIRs and take action to resolve issues.
  • Maintain and coordinate the regional records system to include coding, retention, storage, access, and destruction of technical program records. Monitor records management activities to ensure conformance to agency standards and program requirements. Initiate correction of nonconformities. Serve as point of contact for communicating and implementing requirements relating to program records.
  • Assist in the development of work standards. Advise and/or train technical and administrative support staff engaged in records management, responsive information analysis, and the PIR process. Conduct audits and make recommendations for process improvement.
  • Provide administrative support with retrieving incoming mail, processing outgoing mail, customer reception, and answering phone calls. Handle and process cash for the region. Develop, coordinate, and maintain databases and record keeping and filing systems using cloud tools. Develop written Standard Operating Procedures for administrative functions.

KEY QUALIFICATIONS
  • Experience providing customer service in an office setting by greeting or assisting customers and/or answering, screening, or routing telephone calls.
  • Experience preparing and/or proofreading correspondence, forms, brochures, manuals, and/or charts.
  • Experience having primary responsibility for overseeing a records management system for a large or complex organization.
  • Experience in responding to Public Information Requests/Open Records Requests.

REQUIRED EDUCATION & EXPERIENCE
Graduation from a standard senior high school or its equivalent plus five years of fulltime experience providing administrative support in an office setting.
OR
Two years as an Administrative Assistant IV at TCEQ.
Fifteen semester hours from an accredited college or university may be substituted for each six months of the required experience with a maximum substitution of four years.

Work Schedule
Standard business hours are MF, 8:00 a.m. 5:00 p.m.
