Job description

The Receptionist serves as the first point of contact for the firm, creating a welcoming, and professional experience for clients, visitors, and callers.  This role requires excellent communication skills, a calm and empathetic demeanor, and the ability to manage a high-volume, fast-paced front office while supporting multiple departments with administrative tasks.

Essential Functions:

  • Greeting clients and visitors warmly and professionally upon arrival; notify appropriate staff of the arrivals.
  • Answer, screen, and route incoming calls promptly and courteously across a multi-line phone system.
  • Maintain the reception area, ensuring it is clean, organized, and presentable at all times.
  • Receive, sort, and distribute incoming mail and deliveries on a daily basis; prepare outgoing mail and shipments as needed.
  • Provide general administrative support, including data entry, filing scanning, and document preparation.
  • Maintain accurate visitor and call logs as needed.
  • Assist with new client intake support, including collecting basic information and directing inquiries to the appropriate department.
  • Monitor and assist with ordering front office and break room supplies.
  • Support attorneys and staff with overflow administrative tasks as needed.
  • Maintain strict confidentiality regarding client and case information.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • 1+ years of experience in receptionist, front desk, or customer service role; professional office experience strongly preferred.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Experience with multi-line phone system.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
