Job description

Founded in 1920, Akerman is recognized as one of the nation's premier law firms, with more than 700 lawyers across the United States.
Akerman is seeking an Office Coordinator for its Wilmington, Delaware office. This person will provide both general and clerical tasks around the office. Excellent customer service, attention to details, and organizational skills are essential along with the ability to work independently and multi-task in a fast-paced environment. This is a full-time position in the office/40 hours per week. Work schedule in office Monday-Friday, 8:30 am to 5:30 pm with 1 hour for lunch.
Responsibilities include:
  • Staff the front desk as a duty station
  • Answer general incoming calls and transfer to the appropriate person
  • Answer the front door which is kept locked (Akerman guests, deliveries)
  • Order, set up and breakdown client meal functions as needed (breakfast, lunch, on occasion a dinner)
  • Prepare labels and packaging for the various forms of shipping (FedEx, USPS certified, UPS, etc.)
  • Prepare notebooks, 3-ring binders, copy projects as needed
  • Order office and kitchen supplies and monitor fulfillment
  • Assist with coordination of outside vendors (accept deliveries, serve as point person for furniture/equipment installations)
  • Maintain the employee kitchen, three conference rooms, and reception space of the office
  • Work with Akerman IT to establish Zoom/Webex/Teams Video conferencing meetings
  • Maintain invoicing for vendors in Chrome River (Basic accounting)
  • Print checks as necessary, on occasion make a bank deposit
  • Interface with Property Management on parking, visitors, and maintenance issues
  • Manage Akerman visitor badges and Kastle cards, request replacements as needed
  • Pick up documents from courthouse as needed
  • Assist in keeping details of the Wilmington office home page current
  • Assist with new hire onboarding checklist, and departure checklist for employees
  • Assist Office Administrator with logistics for occasional office social events
  • Complete other clerical duties as assigned by Office Administrator/Office Managing Partner

This position requires a valid driver's license and reliable transportation for regular local office runs: Courthouse, FedEx, Post Office, etc.
