Administrative Coordinator - Quality Management
Howard University Hospital | Washington, DC
Role Summary
As an Administrative Coordinator at Howard University Hospital, you will be a key operational partner to our Quality Management department - the team responsible for advancing patient safety, regulatory readiness, and clinical excellence across the institution. Reporting to the Manager of Quality Management, you will coordinate administrative workflows, support staff meetings and QA-led committees, contribute to policy development and internal audits, and play a vital role in regulatory survey preparation.

What You'll Do
  • Provide general administrative support to the Quality Management department, including interdepartmental and external communications, mail and email distribution, and management of multi-line voicemail
  • Manage department timecards and coordinate with Payroll as needed
  • Disseminate hospital-wide and external department announcements as directed; collaborate with other department Executive Assistants to schedule interdepartmental meetings and events
  • Manage supply inventory, process supply requests, and oversee departmental invoices
  • Support the onboarding and setup process for new department employees, including orientation, IT and system access setup, and physical space requests; coordinate departmental service and support requests with Information Technology and Facilities
  • Provide administrative support for department staff meetings and QA-led committees, including agenda preparation, document preparation, and meeting logistics
  • Assist with the development, management, and storage of hospital policies, processes, and procedures
  • Assist in developing internal auditing tools and in conducting internal audits and reports; conduct research and analyze data to support departmental reporting
  • Support the Quality Department and HUH team members during regulatory surveys by coordinating activities and the collection of information and data
  • Conduct or assist with regulatory and quality training sessions; prepare and maintain quality management documentation, and assist with regular inspections and reviews to ensure adherence to quality and safety policies
  • Maintain strict confidentiality of patients, families, and staff in compliance with HIPAA, the Howard University Code of Ethics, and the Health Sciences Standards of Conduct
Required Qualifications
  • Associate's Degree required
  • Three (3) years of administrative support experience required
  • Proficiency in Microsoft Office Suite, UKG, and Lawson
  • Excellent verbal and written communication skills - in person, over the phone, and via email
  • Exemplary time management, organizational, and prioritization skills, with the ability to work independently and manage a multi-task environment
  • Excellent attention to detail and a professional, customer service-oriented demeanor
  • Strong stewardship of confidential data, including strict compliance with HIPAA and patient confidentiality
