Job Title: Order Fulfillment Specialist
Job Description
The Order Fulfillment Specialist serves as the primary contact for customer purchase order submission and sales order creation. This role bridges communication between Sales and Business Development teams and Operations, ensuring orders are processed accurately, documentation is complete, and customers receive timely updates and exceptional service. The specialist supports the full order lifecycle, from reviewing purchase orders to confirming delivery details, while maintaining strong internal and external relationships.
Responsibilities
  • Serve as the primary point of contact for customer purchase order submissions and sales order creation.
  • Review incoming orders against customer purchase orders to identify discrepancies in quantities, pricing, and billing information.
  • Resolve issues related to special pricing agreements by collaborating with Sales and Business Development teams and other relevant stakeholders.
  • Confirm all required documentation for contract order processing is present and complete.
  • Request and follow up on any missing documentation needed to process orders accurately and on time.
  • Verify that each order matches the end user purchase order or quote, line by line when necessary, to ensure accuracy.
  • Review final sales orders for clarity and accuracy before entering them into the system.
  • Build and maintain strong relationships with internal and external customers, demonstrating a customer-focused approach in all interactions.
  • Take ownership of key performance indicators by understanding, tracking, and monitoring performance against established targets.
  • Provide customer service support by supplying tracking information, order acknowledgments, and order status updates in a timely manner.
  • Review documents such as production schedules and work orders to ensure customer delivery dates are accurate and achievable.
  • Use ERP systems, including NetSuite, to enter, update, and manage orders and related data.
  • Utilize Microsoft Office tools, particularly Excel, Outlook, Word, and PowerPoint, to support order processing, reporting, and communication.
  • Support account management and customer relationship management activities to enhance customer satisfaction and retention.
  • Collaborate with cross-functional teams, including Sales, Business Development, Operations, and Manufacturing, to resolve issues and ensure smooth order fulfillment.
  • Work effectively under periodic or cyclical time pressures, managing time-sensitive tasks and responding to constant technical data feedback.
  • Apply strong analytical and problem-solving skills to address order-related issues and improve processes where possible.
  • Independently follow and execute assigned work, ensuring tasks are completed accurately and on schedule.
  • Contribute to a collaborative team environment by sharing information, supporting colleagues, and participating in continuous improvement efforts.

Essential Skills
  • 2 to 5 years of experience in customer service and order entry, preferably within a manufacturing environment.
  • Proven experience in managing customer relationships and supporting customer satisfaction initiatives.
  • High proficiency with Microsoft Office products, including Excel, Outlook, Word, and PowerPoint.
  • ERP system experience, with NetSuite knowledge strongly preferred.
  • Experience with order entry, order processing, and data entry in a business or manufacturing context.
  • Strong verbal and written communication skills for interacting with customers and internal stakeholders.
  • Excellent attention to detail when reviewing purchase orders, sales orders, and supporting documentation.
  • Customer service skills with a focus on maintaining and improving customer satisfaction and relationships.
  • Ability to perform work under periodic or cyclical time schedules and stresses, including time-sensitive job demands and constant technical data feedback.
  • Associate's or Bachelor's degree in a related field.
  • Ability to work independently without direct supervision and act as a self-starter.
  • Ability to employ effective time management skills to handle multiple tasks and deadlines.

  • Experience with Salesforce CRM, particularly in a support or cloud environment.

Work Environment
This is an in-office position with a standard schedule of Monday through Friday, 8:00 a.m. to 5:00 p.m. The role operates in a professional business environment, collaborating closely with Sales, Business Development, Operations, and Manufacturing teams. Work involves regular use of computers, ERP systems such as NetSuite, Microsoft Office applications, and customer relationship management tools. The position requires working under periodic or cyclical time pressures, managing time-sensitive tasks, and responding to continuous technical data feedback. The environment supports teamwork, cross-functional communication, and a multi-cultural business setting.
Job Type & Location
This is a Contract to Hire position based out of Round Rock, TX.
Pay and Benefits
The pay range for this position is $27.00 - $31.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
