What is a Proposal RFP?

A Proposal RFP, or Request for Proposal, is a document that organizations use to invite vendors or service providers to submit proposals for a specific project or service. It outlines the requirements, scope, evaluation criteria, and expectations for the project. Companies use RFPs to compare different proposals in order to select the best partner based on quality, experience, and cost. Responding to an RFP typically involves creating a detailed proposal that addresses all specified needs and demonstrates how the vendor can deliver value. This process is common in industries such as government, construction, IT, and professional services.

What are the main challenges faced when managing multiple RFP proposals simultaneously?

Managing several RFP proposals at once often requires excellent organizational and time management skills, as deadlines can overlap and requirements may vary widely between clients. Proposal professionals must coordinate input from multiple departments, ensuring all sections are accurate and tailored to each request. Maintaining clear communication, prioritizing tasks, and using proposal management software are common strategies to stay on track and deliver high-quality submissions. Adapting quickly to shifting client expectations and internal feedback is also essential for success in this fast-paced environment.

What are the key skills and qualifications needed to thrive as a Proposal/RFP Specialist, and why are they important?

To thrive as a Proposal/RFP Specialist, you need strong writing, research, and project management skills, often supported by a background in business, communications, or a related field. Familiarity with proposal management software (such as RFPIO or Loopio), Microsoft Office Suite, and sometimes APMP certification is highly beneficial. Exceptional attention to detail, collaboration, and time management are standout soft skills in this role. These abilities are crucial for crafting compelling, compliant proposals that meet strict deadlines and align with client requirements.

What is the difference between Proposal Rfp vs Proposal Coordinator?

The real world is the next frontier, and at Metropolis, we are creating the artificial intelligence to make it responsive. We are pioneering the Recognition Economy - a future where mundane repetition disappears and being known unlocks access, comfort and belonging everywhere you go. From transforming parking into a seamless drive-in, drive-out experience for millions of Members to expanding our intelligence layer across retail and hospitality, we are building a world that feels instinctive and magical. The future isn't coming; it's here, and we need builders, innovators and problem solvers to help us create it.

Who you are

Metropolis is seeking a RFP Specialist to join our Revenue Operations team. You will be the primary engine behind our proposal process, ensuring that every Request for Proposal (RFP) and Request for Information (RFI) we submit is clear, accurate, and competitive. • Ensure Metropolis products and services are accurately represented in external databases through meticulous monthly and quarterly updates
  • Take ownership of the RFP response database while continuously improving proposal tools and systems to enhance data quality as we scale
  • Participate in high-impact projects designed to improve the efficiency of the RFP team and the broader organization
What we're looking for
  • 5+ years of professional experience in proposal writing, sales operations, or business development
  • Strong writing and editing skills with the ability to translate technical AI concepts into persuasive and easy-to-understand narratives
  • Proven ability to navigate complex organizations and source information from various subject matter experts, including technical partners
  • A self-starter who can manage multiple conflicting deadlines in a demanding, high-growth environment
  • Comfort working with RFP automation software and CRM tools
  • High level of attention to detail and a commitment to accuracy in data reporting
While not required, these are a plus:
  • Experience in the real estate, mobility, or AI/Computer Vision industries
  • Familiarity with Letter.AI, GovSpend, or similar proposal management platforms
  • Experience responding to government, large-scale enterprise, and real estate procurement requests
