Job description

Overview

The position of Property Manager of Lundy Management Group, LLC (Lundy) will initially include assisting with the responsibility for overall management of properties under contract with Lundy Management Group. The Property Manager is an employee at will.

 Property management is inherently a job of solving problems and fixing situations on behalf of Lundy Management Group or a client.  Problems and issues can be minimized by having policies and procedures in place that proactively head off issues before they become problems. If preventative maintenance can avoid a future problem, it is incumbent on the Property Manager to recommend the preventative maintenance be performed. It is incumbent on the Property Manager and all Lundy employees working with the Property Manger to create a job environment that is fun and enjoyable without allowing the problems and issues to create a negative environment.

Currently looking for Wilmington, NC

Hours

The hours of work will be flexible but are intended to be accomplished within a 40-hour work week.  These hours will generally be within a normal work day of 8:00 AM to 5:00 PM.  Additional hours of work may be required or requested to meet deadlines or respond to immediate resident or tenant needs. 

 Lundy also implements an after-hours on call system to provide 24/7 service to our clients.  Each Property Manager is expected to rotate through the on-call system. 

Goals

The goal of this position is to proactively manage properties for owner, tenant, and resident satisfaction using cost efficient methods or practices.  The Property Manager will be involved in establishing systems, methods, and practices that will work to achieve the goal.  The onsite presence of the Property Manager will be required through regularly schedule review or tours as well as on an as-needed basis to meet with residents/tenants or vendors. 

 The Property Manager will be involved in the following management areas of work:

Resident/Tenant Service

The Property Manager may be the primary contact and individual responsible to respond to any resident or tenant needs as it relates to the management of a property.  The Property Manager will establish practices and policies regarding what the property’s responsibilities are versus what the resident/tenant responsibilities are.  To the extent any Association oversees or operates a property, the Property Manager will manage the Association to achieve the goals of the property.  This may include:

    • Distribute routine and emergency communications to residents/tenants as needed
    • Perform property walk-throughs and create corresponding task lists
    • Coordinate in-house maintenance engineer and third-party vendor service
    • Respond promptly to tenant’s needs and requests
    • Regularly interface with tenant points-of-contact

Reporting

The Property Manager will work in conjunction with the Lundy accounting department to compile Asset Management Reports on a pre-established basis (monthly, quarterly, etc.).  The Property Manager will review financial and operations reports with investors, board members, and stakeholders in person or remotely as needed.

Maintenance Contracts & Vendor Management

The Property Manager will be the primary contact for all vendors or maintenance contracts for the property(s).  The Property Manager will be responsible for soliciting vendors to bid on contracts as needed, evaluating the bids and vendor performance, awarding contracts, then managing the results.  This will include review of invoices submitted for payment and maintaining current vendor compliance documentation. 

Financial & Accounting

The Property Manager will be involved in the establishment of annual budgets for properties. They will review invoices for approval to be paid and also plan for upcoming preventative maintenance included in a budget.  There will be decision authority as to what to spend and when to spend it but also accountability for costs and overall expenses of a property. They will assist the Lundy Management Group accounting team on an as needed basis.

Reviews

The Property Manager will review with Lundy Team Members weekly the ongoing issues, problems, and opportunities for properties in order to create a team environment for maximizing performance.  The Property Manager will maintain a 90-day plan to lay out personal and professional development goals and project planning for their portfolio.  The Property Manager will meet with their manager quarterly to review the past 90 days and set shared goals for the upcoming 90-day period.

Property Handbook

The Property Manager will be responsible for maintaining a written emergency procedures manual for each property and for keeping the Lundy Management Group manual up to date.  The Property Manager will establish, modify, and improve practices and methods for property management.
