Description

The Assistant Property Manager is responsible for providing key office support and assistance to the Property Manager in the daily operations of the Property. In addition to other duties, the Assistant Property Manager collects rent and fees from residents, posts income and deposits, and represents and upholds the Birchstone brand and company values.

ESSENTIAL DUTIES:

  • ย Assist the Property Manager in all aspects of Property operations to ensure adherence to Birchstone standards, exceptional service, and the highest degree of resident satisfaction while upholding Birchstone values and working within budgetary guidelines.
  • Provide exemplary customer service to all current, future, and previous residents. Create and develop meaningful and memorable experiences through
    personal relationship building.
  • ย Assist the Property Manager in the oversight of leasing and service team.
  • ย Support Leasing Specialists and ensure Fair Housing guidelines are followed; verify resident applications and assist in showing units and the Property
    to prospective residents.
  • ย Lead rent collection efforts; Post rental collections, make bank deposits and reconciliations, and oversee accounting functions for the Property.
  • ย Assist the Property Manager with evictions, utility cut-offs, etc. as needed
  • ย Assist the Property Manager in overseeing the renewal process; create and deliver renewal notices, review lease renewals and addendums, etc.
  • ย Review, maintain, and update resident lease files and computer records.
  • ย Inspect units after move-outs thoroughly: recording, documenting and photographing condition; Walk and inspect all make ready units to ensure
    readiness for new residents.
  • ย Handle resident concerns while delivering exceptional customer service.
  • ย Ensure all applicable permits (multifamily license, pool/spa, etc.) are current at all times.
  • ย Process forms, reports, and administrative information.
  • ย Provide suggestions for improving overall efficiencies and processes; maintain market familiarity and suggest pricing changes.
  • ย Research new resident amenities, activities, and programs that add value to the Property and drive revenue.
  • ย Assist Property Manager in team member training on proper resident service and leasing techniques and best practices.
  • ย Frequently walk the grounds to ensure Property and units are show ready, Birchstone Standards and values are upheld, procedures are followed, and the Property is operating efficiently and in compliance with applicable regulations.

  • ย Provide support and assistance in the execution of special projects and assignments including capital improvement project management and monitoring project progress.
  • ย Participate in regular meetings with Property Manager and act as a resource to Property team members.
  • ย Other duties as assigned.


Requirements

EDUCATION & EXPERIENCE:ย 

  • ย High School Diploma or Equivalent is required; Bachelor's degree in Business, Sales, or related field preferred.ย 
  • ย Two (2) or more years work experience in multi-family, Conventional/Market Rate, Class A and Class B communities preferred.
  • ย Two (2) or more years work experience in residential leasing and/or sales experience preferred.
  • ย One (1) or more years work experience in a lead or supervisory role preferred.

LICENSES & CERTIFICATIONS:ย 

  • Certified Property Manager (CPM), Certified Apartment Manager (CAM) and/or Accredited Residentialย 
  • Manager (ARM) certifications preferred.

KNOWLEDGE & SKILLS:ย 

  • ย Sufficient expertise in marketing, leasing, and financial management.
  • ย Strong leadership, collaboration, and interpersonal skills.
  • ย Ability to work independently and in a team environment.
  • ย Innovative approach to problem solving.
  • ย Familiarity with basic accounting and mathematical skills.
  • ย Must possess demonstrated effective written and verbal communications skills.
  • ย Excellent time management skills; ability to work well under pressure and meet deadlines.
  • ย Ability to effectively manage multiple projects simultaneously and prioritize tasks.
  • ย Strong organizational and planning skills; attention to detail.
  • ย Proficient with Microsoft Office Suite or related software; possesses general computer skills.
  • ย Proficiency with or the ability to quickly learn Entrata software and/or other Property Management and supplemental software solutions.
  • ย Ability to work varying hours and promptly respond to emergency situations.
  • ย Bilingual ability in English and Spanish preferred, but not required.
