Ce que vous ferez en tant que Adjoint(e) aux projets :

Ladjointe aux projets fait partie de l'quipe du projet de construction et est charg de fournir un soutien administratif, de coordonner les procdures et de veiller ce que tous les documents relatifs au projet de construction soient conformes. En collaboration avec l'quipe de projet, le candidat s'assurera de livrer un travail de qualit, dans les dlais prescrits. RESPONSABILITS

  • Coordonner les activits administratives relatives la gestion de projet de construction (comptes-rendus de runions, mission des bons de commandes, notes de changement, etc.)
  • Effectuer les suivis des ordres de changement et des directives en collaboration avec les membres de l'quipe de projet
  • Crer et organiser les documents de construction, incluant tous les documents relatifs la conformit en matire de sant et de scurit et les contrats des sous-traitants
  • Saisir des donnes comptables pour fins de facturation
  • Grer et organiser les runions de lquipe de projet
  • Grer les documents de fin de projet
  • Prparer et compiler les factures des fournisseurs et dautres documents requis pour approbation et traitement
  • Jumeler les factures aux bordereaux dexpdition
  • Communiquer avec les sous-traitants ou le client concernant les documents de facturation et les paiements
  • Assurer la liaison avec lquipe de la comptabilit au sige social


QUALIFICATIONS

  • Dtenteur d'un diplme en administration, en secrtariat, techniques de bureautique ou autre
  • Un minimum de 3 ans d'exprience dans un poste similaire, dans le domaine de la construction
  • Exprience/trs bonnes connaissances et aptitudes en comptabilit
  • Bilingue (franais, anglais); niveau avanc du franais exig. Le bilinguisme est requis afin de communiquer avec nos clients et nos collgues lextrieur du Qubec
  • Excellente matrise des logiciels MS Office; trs laise dans lutilisation de tous types de logiciels
  • Grande capacit de travail d'quipe et du respect des chanciers
  • Bonnes capacits de gestion du temps et des priorits, sens de l'organisation lev

What you will do as a Project Administrative Assistant:

The Project Administrative assistant is an important part of the construction project team and is responsible for providing administrative support, coordinating procedures, and ensuring all documents related to the construction project are compliant. In collaboration with the project team, the incumbent will ensure to deliver quality work, on time. RESPONSIBILITIES

  • Coordinate the administrative functions of the construction department (Taking meeting minutes, issuing purchase orders, change directives, etc.)
  • Oversee change orders and requests for bids in collaboration with the project team members
  • Create and organize construction documents including all health and safety compliance documents and subcontractor contracts
  • Enter accounting data for billing purposes
  • Manage Project Managers calendar for the organization and coordination of team meetings
  • Manage project close out documents
  • Prepare and compile supplier invoices and other documents necessary for approval and processing.
  • Match invoices to packing slips
  • Communicate with subcontractors or the client regarding billing documents and payments
  • Liaise with the Accounting team at head office

QUALIFICATIONS

  • Diploma in Administration, Secretarial, or similar discipline
  • Minimum of 3 years experience in a similar position, construction industry experience is considered an asset
  • Experience/very good understanding of accounting functions
  • Bilingual (French and English); advanced level of French required. The need for bilingualism is required to communicate to our clients and colleagues outside of Quebec
  • Excellent knowledge of MS Office software; Tech-savvy with various computer softwares
  • Strong teamwork abilities and ability to manage scheduling
  • Ability to work within tight deadlines, strong time management skills and ability to prioritize in a dynamic and fast pace working environment
  • Organized, meticulous and carries a team spirit
