CONTEXT OF THE JOB:
Under the limited supervision of the Academic Program Manager, the Academic Program Coordinator manages the administration of the department's undergraduate programs, serves as liaison with University faculty, staff, students, and off-campus organizations/contacts, and is responsible for the Programs, Department, and University policy applications. This position coordinates all undergraduate administrative activities across multiple academic programs, specialized record keeping and database management, and/ information gathering projects. This position monitors and analyzes enrollment data and projections. Other duties include coordination of training, assigning, recruitment, admissions administration, and checking the work of lower-level staff and functioning as the lead staff person of responsibilities relating to undergraduate academic administrative functions.
MAJOR RESPONSIBILITIES:
  • Manages the daily administrative operations for SON undergraduate programs.
  • Supports interpretation of University and departmental academic policies.
  • Serves as the primary liaison with Registrar's Office, Transfer Credit Office, and College of Health Sciences.
  • Monitors student academic enrollment and progression in collaboration with Associate Dean of Faculty & Student Affairs, Undergraduate Program Director, Academic Program Manager, Academic Advisor, and other stakeholders to evaluate student pathways, forecast course scheduling needs, and support academic planning.
  • In collaboration with the Academic Program Manager, may support general oversight, including assigning duties, training and evaluation of SON misc wage and student staff as needed.
  • Assists with the coordination of undergraduate recruitment and outreach strategies, overseeing prospective and current student data, analyzing trends, and recommending data-driven improvements.
  • Works closely with SON Program Directors, Academic Advisors, and students to review application and enrollment status, student academic progression, and course scheduling.
  • Maintains student records and databases used to track student performance, current academic status, and graduation information. Tracks course grades for appropriate follow-through and reviews transcripts to determine if coursework and student plans of study and pre-requisites are being completed.
  • Coordinates the planning, execution, and improvement of departmental undergraduate communication campaigns following UD communications best practices and policies, and in coordination with the CHS communications team. Maintains and updates information disseminated on the department's various social media platforms; creates new content; tracks metrics and enhances student engagement.
  • In collaboration with OCM, assists with developing, maintaining, and updating advising publications and undergraduate information both in print and on the web.
  • Maintains comprehensive student records and performance databases, ensuring data integrity and readiness for reporting and decision-making.
  • Ensures compliance with University, state, and federal regulations related to admissions, enrollment, and academic progression, and develops internal procedures to support compliance.
  • Coordinates process improvements for clinical placements related to academic scheduling with Undergraduate Clinical Coordinator
  • Coordinates and executes course scheduling activities-including lab sections and practicum/clinical rotations-while ensuring full alignment with program requirements and accreditation standards.
  • Manages student inquiries and escalations, conducting reviews and coordinating with faculty, advisors, and administrators as needed.
  • Supports SON's involvement in events such as Convocation, Decision Days, New Student Orientation and Blue and Gold Saturdays. Provides on-site supervision and coordination for events as needed.
  • Coordinates departmental alumni relations efforts in partnership with DAR.
  • Monitors and manages the collection, analysis, and reporting of undergraduate student data for program assessment, accreditation, and strategic planning.
  • Directs and administers the scholarship and awards program within SON ensuring accurate disbursements of all monetary awards; recommends award recipients based on individual award criteria (performance, leadership, background); monitors budget and communicates forecasted spending to Business Administrator.
  • Reports on student data to include Qualtrics to distribute and track faculty course evaluations for the Associate Dean of Accreditation and Outcomes.
  • Performs other job-related duties as assigned.

QUALIFICATIONS:
  • Bachelor's degree and three years of experience in college admissions/advisement, or equivalent combination of education and experience
  • Ability to make independent decisions and judgement in keeping with the level of the position.
  • Knowledge of University of Delaware undergraduate policies and procedures to be able to direct and enforce policies preferred.
  • Ability to plan, prioritize, balance, and review a variety of projects that must be completed simultaneously and on time.
  • Effective organizational, interpersonal, and communication skills with the ability to influence and collaborate across multiple stakeholders.
  • Ability to use advanced techniques in spreadsheet, database, and presentation software.
  • Ability to independently extract student data from university platforms, analyze, and prepare data for the reports and presentations.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Knowledge of Word Press software and University UDSIS, Stellic, and SLATE systems (or related software) preferred.

Special Requirements:
  • Some weekend and evening work required
  • Peak times will require extended hours
