Job description

Position: Legal Assistant
Location:
Burlington, Kingston, Toronto, ON
Type:
Existing vacancy (location TBD)
Hours:
35 hours per week
Compensation Range:
$50,000-56,000

Responsibilities:

Collections Support

  • Process internal collections, including researching debtor addresses and attempting phone contact under the direction of the Manager, Paralegal Operations.
  • Handle all processes involving Go Beyond Collections, ensuring documents and photographs are compiled, scanned, and forwarded as required.

Legal Documents

  • Prepare and file legal notices and applications, including N4s, N8’s, L1s, and L9s.
  • Compile and maintain legal files, tenant records, and case tracking systems.
  • Coordinate with Property Managers, Building Staff, and external parties to obtain necessary documentation.
  • Monitor deadlines to ensure timely filing of applications and responses.

Above Guideline Increases (AGIs)

  • Monitor capital expenditures to identify qualifying buildings for AGI applications.
  • Gather and organize supporting materials, including invoices, copies of cashed cheques, and all required backup documentation, working closely with Accounting and PS&C.
  • Prepare AGI applications for filing under the guidance of the Paralegal Systems Manager or as directed by the AVP, Marketing, Communications & Paralegal Services.
  • File approved AGI applications and mail related Notices of Hearing and Orders.

Administrative Support

  • Provide general office support, including answering calls, preparing correspondence, and distributing legal documents.
  • Ensure photos relating to unit damage are compiled and stored in the system.
  • Provide full coverage while the Paralegal is out of the office or on vacation, within the scope of legal administration.
  • Other duties as assigned.

Skills and Qualifications:

  • Proficiency in Microsoft Word, Excel, and ability to learn new programs (e.g., Yardi).
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Professional communication skills, both written and verbal.
  • Positive, team-oriented attitude and willingness to learn.
