As a Construction Administrator on the Operations Team at Michael Kinder & Sons (MKS), you will play a vital role in supporting the successful execution of commercial construction projects. YourAbility to manage multiple priorities,maintainorganization across several active projects, and consistently meet deadlines in a fast-paced construction environmentwill keep projects moving seamlessly.

YOUR RESPONSIBILITIES

Project Administration

  • Coordinate project startup activities, including checklists, folder organization, and project directories.
  • Maintain project drawings, specifications, contacts, meeting minutes, and project records.
  • Support Project Managers and Senior Project Managers with administrative project needs.

Submittal & Procurement Management

  • Create andmaintainsubmittal logs, procurement logs, and tracking reports in Procore.
  • Coordinate submittal reviews and approvals between subcontractors, project teams, and design professionals.
  • Track procurement status, material lead times, delivery schedules, and overdue submittals.

Project Change Management

  • Distribute PR, ASI, and RFCO communications andmaintaintracking logs.
  • Follow up on pricing requests, subcontractor responses, and pending scope items.
  • Support project teams bymaintainingaccuratechange management documentation and records.

Project Closeout

  • Issue and track closeout documentation requests and requirements.
  • Collect warranties, O&M manuals, attic stock documentation, and other closeout deliverables.
  • Assemble and prepare complete closeout packages for final owner turnover.

Contract & Compliance

  • Request, review, and track Certificates of Insurance and compliance documentation.
  • Maintain compliance records in Sage andmonitorexpirationdates and requirements.
  • Support subcontract andpurchaseorder administration, tracking, and document management.

Project Turnover

  • Attend project turnover meetings and document project requirements.
  • Review project schedules, milestones, scope, and administrative needs.
  • Coordinate startup requirements with project teams to ensure project readiness.

Project Financial Support

  • Support project accounting functions including contract administration and change management.
  • Assistwith project financial reporting, billing support, and cost tracking activities.
  • Provide backup support for project closeout reconciliation and financial documentation.

NECESSARY QUALIFICATIONS

1. Minimum Education | High School Diploma

2. Office AdminExperience |5yr

3. Microsoft Office 365 Experience Including strong knowledge ofExcel, Word & Outlook| 1yr

4. Ability to manage multiple projects simultaneously.

PREFERRED SKILLS

1. Experience in Construction Industry

2. Experience with Adobe, Bluebeam, Procore & Timberline
