TES Staffing is partnering with a growing, mission-driven healthcare organization to hire an Operations Coordinator. This is an exciting opportunity to join a collaborative practice dedicated to providing compassionate, patient-centered care for individuals managing chronic health conditions.
This role combines front-line patient support with practice operations and administrative coordination. As the organization continues to grow, the Operations Coordinator will have the opportunity to take on increasing responsibility and contribute to the development of practice operations, with potential for future leadership growth.
About the Role
The Operations Coordinator serves as both the welcoming face of the practice and a key operational partner to leadership. You'll support patients throughout their experience while helping ensure the day-to-day operations of the office run smoothly and efficiently.
This position is ideal for someone who enjoys balancing exceptional customer service with behind-the-scenes organization and process improvement.
Key Responsibilities
  • Welcome and check in patients while creating a warm, professional experience
  • Verify insurance benefits and collect patient co-pays and coinsurance
  • Manage incoming phone calls, patient portal communications, and business text messages
  • Coordinate new patient inquiries, including outreach, scheduling, and intake paperwork
  • Assist with referrals, medical records requests, and care coordination
  • Manage provider schedules within the electronic health record (EHR) system
  • Maintain office supply inventory and coordinate vendor relationships
  • Support onboarding and offboarding of staff
  • Coordinate internal meetings and assist with administrative projects
  • Process incoming and outgoing mail
  • Provide operational support to leadership and assist with ongoing process improvements
  • Perform other duties as assigned
Qualifications
  • Associate's or Bachelor's degree preferred
  • Previous experience in customer service, administrative support, medical reception, or front-office operations required
  • Strong communication and interpersonal skills
  • Excellent organizational, time management, and problem-solving abilities
  • Proficiency with Microsoft Office 365 and strong overall computer literacy
  • Detail-oriented with the ability to prioritize multiple responsibilities
  • Experience with insurance verification, healthcare administration, or finance is preferred but not required
  • Experience learning new software systems, including electronic health records, is a plus
