The Executive Assistant serves as a trusted partner, ensuring smooth day-to-day operations, facilitating coordination across teams, and supporting key business initiatives through efficient planning and execution.

The Executive Assistant will be responsible for:

  • Manage and coordinate day-to-day calendar activities, including scheduling, prioritizing, and rescheduling meetings based on business needs.
  • Organize domestic and international travel arrangements, including flights, accommodations, transportation, itineraries, and travel documentation.
  • Prepare and manage expense reports and support invoice processing in partnership with relevant internal teams.
  • Coordinate meetings and events, including logistics, meeting materials, room bookings, catering, and technology requirements.
  • Provide administrative support through the preparation and consolidation of presentations, reports, agendas, spreadsheets, and other business documents.
  • Manage relationships with external vendors and travel agencies, ensuring smooth coordination and service delivery.
  • Track pending actions, deadlines, and follow-up items to support executive productivity and business priorities.
  • Serve as a key liaison between executives, leadership teams, and cross-functional stakeholders.
  • Handle confidential and sensitive information with the highest level of discretion and professionalism.
  • Support special projects, department initiatives, employee engagement activities, and leadership meetings as needed.

What we need from you to be part of this story:

  • Solid experience as an Executive Assistant, Administrative Assistant, or in a similar support role.
  • Advanced English level.
  • Strong proficiency in Microsoft Office Suite, including Outlook, Excel, Word, PowerPoint, and collaboration tools.
  • Proven experience coordinating complex calendars, meetings, and travel arrangements.
  • Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Experience preparing executive presentations, reports, and meeting materials for senior leadership.
  • Strong ability to coordinate across multiple stakeholders and functions in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • High attention to detail and commitment to accuracy.
  • Ability to work independently, anticipate needs, and proactively solve problems.
  • Experience supporting multiple executives simultaneously.
  • Experience coordinating international travel and regional teams.
  • Familiarity with expense management and travel systems such as Concur, SAP, or similar platforms.
