Responsibilities

The Program Coordinator supports Program Managers regarding business execution. This is a dynamic position that includes: coordinating subcontractors for service and installation jobs and providing an interface for any general administrative support. Performs all duties in accordance with all company guidelines and applicable federal, state and local regulations. 

ESSENTIAL DUTIES AND RESPONSIBILITIES 

Service Coordination 

  • Coordinates service dispatch with subcontractors 
  • Customer communication on service call progress, quoting and reporting   
  • Works with subcontractors completing calls, quoting and invoicing 
  • Coordinates with internal resources for call setup and completion, quoting, billing, etc. 
  • Schedules planned service with subcontractors 
  • Schedules and executes service-related roll outs with multiple locations 
  • Subcontractor Maintenance 
  • Provide support to service branches who need to utilize subcontractors when necessary  
  • Review current subcontractor list, request updates for expired documents 
  • New subcontractor setup 
  • Research and find potential subcontractors 
  • Communicate with potential subcontractor and send new vendor packet 

Installation and Project Support 

  • Coordinate with sales and estimating to verify subcontractor availability and worthiness to bid projects 
  • Research and find potential subcontractors  
  • Project Administration 
  • Organize and maintain electronic project folders per job 
  • Create project schedules 
  • Create and maintain contract documents for subcontractors 
  • Issue PO’s for subcontracts  
  • Obtain submittals from vendors and submit in customer portal 
  • Receive and process for approval change order requests from subcontractors 
  • Receive and submit close out documents from subcontractors 
  • Embodies the CoolSys CARES culture (Collaboration, Accountability, Respect, Empowerment, Safety). 
  • Performs other duties as assigned.  

Qualifications

Education / Training 

  • High school diploma or GED 
  • 4-6 years of work experience 

Work Experience / Skills 

  • Excellent customer service skills with both internal and external customers and subcontractors. 
  • Ability to communicate effectively, both verbally and in writing   
  • Highly organized and detail-oriented  
  • Ability to work independently and in a team-oriented environment  
  • Proficient typing skills to properly document dictation to update systems  
  • Ability to understand and follow all company policies and procedures and all applicable State and Federal laws.  
  • Ability to use typical business tools including E-Mail, Word, Excel, etc.
