Requirements
Core Responsibilities
Contracts & Pricing Administration
• Maintain customer and vendor contract terms (pricing, rebates, GPO agreements)
• Ensure correct pricing is applied in ERP (SAP)
• Validate contract eligibility for customers (pharmacies, hospitals, etc.)
Chargebacks Processing
• Review and process manufacturer chargebacks
• Reconcile:
o Contract price vs distributor sell price
o Manufacturer reimbursements
• Investigate discrepancies and short pays
• Work directly with manufacturers, Customers and Internal Sales Team
Vendor Credits & Rebates
• Track and reconcile:
o Vendor rebates
o Volume incentives
o promotional credits
o Returns
o SSA (shelve Stock adjustments)
• Submit claims to manufacturers/vendors
• Monitor aging and follow up on unpaid credits
Financial Reconciliation & Analysis
• Analyze:
o Purchase activity
o Credits / returns
o Margin impact
• Identify errors in pricing or contract setup
Vendor & Customer Coordination
• Work with:
o Vendors/manufacturers
o Sales team
o Customer service
o Warehouse/logistics/Purchasing
o
• Resolve disputes on pricing, credits, or eligibility
Systems & Documentation
• Heavy use of:
o Excel (advanced)
o ERP (SAP)
• Maintain logs, audit trails, and documentation (important for regulatory and financial audits)
Typical Requirements
• 2-5+ years experience in:
o Pharma distribution
o chargebacks / rebates / contracts / AP / AR
• Strong Excel skills (pivot tables, VLOOKUP/XLOOKUP)
