Job description

Job Title: PEIMS Clerk-Special Education Wage/Hour Status: Non-Exempt
Reports to: Executive Director of Special ED Pay Grade: Clerical Pay 4
Dept. /School: Special Education Days: 227
Supervises:
Primary Purpose: Maintain efficient, effective data collection for required state and federal reports, maintain accurate Special Education PEIMS data and maintain Special Education student records in accordance to state and federal requirement.
Qualifications:
Education/Certification:
  • High School Diploma or GED
Special Knowledge Skills:
  • Basic computer skills.
Experience:
Major Responsibilities and Duties:
  • Places and receive telephone call and respond to caller inquiries/requests; provide information or routes caller to appropriate staff member; takes reliable messages
  • Operate and calls for maintenance on office equipment such as computers, copiers and fax machine
  • Maintain confidentiality of student information.
  • Prepare correspondence, data records, forms, reports, etc. for the director and other department staff members
  • Assist in verification of SEMS and PEIMS data
  • Serves as an administrator for the SEAS/Empower Program, duties are assigned to perform routine tasks under the direction and supervision of a Special Education Supervisor
  • Liaison between diagnosticians, speech therapists and support personnel to troubleshoot any problems with the SEAS/Empower program
  • Enter data pertaining to State Performance Indicators (ex., SPP7, SPP13, SPP14) as requested by the Texas Education Agency
  • Maintain current knowledge of PEIMS and aid staff on the Student Attendance Accounting Handbook; including Homebound students
  • Maintain inventory for tracking department inventory and fixed assets (computers, instructional programs, testing materials etc.)
  • Assist in documenting Extended Year Services (ESY) data and state funding reports
  • Maintain current updates from TEA and Region 18 for the Procedural Safeguards and The ARD guidelines booklets
  • Coordinate with the Executive Director for the destruction of records as appropriate
  • Prepare and maintain weekly log of SEMS data and historical reports submitted by and for diagnosticians and speech therapists
  • Operate and maintain student files with the district's online data terminal Ascender/Focus management system
  • Secure and process incoming and outgoing request for records to/from other districts on the Texas Records Exchange, (TREx), a web-based software application for exchange of electronically student records and requests
  • Prepare correspondence requesting records for students new to the district
  • Request reports from information systems to meet reporting needs
  • Compile monthly reports for executive director
  • Prepare statistical reports for TEA for funding purposes
  • Helping in maintaining and updating the complete filing system of active and inactive folders
  • Assist Special Education personnel with checking student folders out and in from the file room
  • Maintain Records Retention Schedule
  • Provide IEP information to counselors, teachers and principals from student records
  • Communicate with diagnosticians and data clerks
  • Communicate with homebound teachers any information pertaining to PEIMS
  • Attend and meet required district hours of staff development
  • Professional dress is required
  • Perform other duties as assigned
