The Challenge to Solve

We are seeking a detail-oriented and proactive Payroll Associate to own end-to-end US payroll operations for a growing and diverse employee population of 300+, including both salaried exempt and hourly non-exempt employees.ย 

This role will play a critical part in ensuring accurate, compliant, and timely payroll processing while supporting a systems transition from UKG Pro to ADP, alongside HRIS integration with HiBob. The ideal candidate thrives in a fast-paced environment, is highly analytical, and collaborates effectively across Finance and People teams.

The Role

You'll be joining at a pivotal moment, owning payroll accuracy and compliance for a growing team while leading a major transformation in payroll and HR systems. You'll directly contribute to improving operational efficiency, employee experience, and the overall quality of payroll services. This is a high-visibility role with real opportunity to shape the processes and infrastructure that will scale with the payroll team, company, and teammates.

Payroll Processing & Operations

  • Execute end-to-end US payroll processing on a biweekly/semi-monthly basis using UKG Pro (and transitioning to ADP)
  • Ensure accurate calculation of wages, overtime, bonuses, commissions, and deductions
  • Validate payroll inputs including new hires, terminations, pay changes, and timekeeping data
  • Process off-cycle payrolls, adjustments, and retroactive payments
  • Manage multi-state payroll compliance, including tax withholdings and registrations

Deductions, Benefits & Garnishments

  • Administer employee deductions including pre-tax and post-tax benefits via Bswift
  • Reconcile and manage 401(k) contributions with Principal, including funding and reporting
  • Process and maintain wage garnishments, levies, and child support orders in compliance with federal and state regulations
  • Ensure proper handling of FSA, HSA, and other benefit-related deductions

Payroll Compliance & Reporting

  • State payroll tax registrationย 
  • Ensure compliance with federal, state, and local payroll laws and regulations
  • Support payroll tax filings, audits, and reconciliations in partnership with external providers
  • Prepare and review payroll reports, including variance analysis and GL reconciliations
  • Assist with year-end activities including W-2 processing and audits

Systems & Process Improvement

  • Play an active role in the migrationย  from UKG Pro to ADP payroll platform, including parallel testing and data validation
  • Collaborate on HiBob HRIS implementation to ensure seamless payroll integration
  • Identify opportunities to automate payroll and accounts payable processes
  • Drive process optimization initiatives across payroll workflows and controls

Cross-Functional Collaboration

  • Partner closely with the People Team on employee lifecycle events impacting payroll
  • Work with Finance & Accounting on payroll-related journal entries and reconciliations
  • Coordinate with external vendors (ADP, Principal, Bswift) for issue resolution and process alignment

The Winning Recipe

Required

  • Bachelor's degree in Accounting, Finance, HR, or related field (or equivalent experience)
  • 3-5 years of experience in US payroll processing
  • Hands-on experience with UKG Pro (or similar payroll systems)
  • Experience with ADP Workforce Now (or similar ADP platforms)
  • Strong understanding of US FLSA
  • Experience managing multi-state payroll and hourly/non-exempt populations
  • Proficiency in Excel (pivot tables, lookups, data validation)

Preferred

  • Exposure to HiBob or other modern HRIS systems
  • Experience with benefits platforms such as Bswift
  • Familiarity with 401(k) administration (Principal preferred)
  • Experience supporting payroll system implementations or migrations
  • CPP or similar certification
