Job description

GENERAL SUMMARY: The New Patient Intake position is responsible for scheduling new patient appointments, obtaining and entering patient demographics, insurance information, past medical history, and referrals. The accuracy of patient information is regularly monitored to ensure valid information is in the EMR. This position requires interaction with referring provider offices, patients and MHO clinical staff. It is the New Patient Intake’s responsibility to request records prior to the patient becoming an MHO patient.

ESSENTIAL FUNCTIONS AND JOB RESPONSIBILITIES:

  • Collects and gathers demographic information (address, DOB, insurance card, etc.) from referring physicians. Pre-registration in the EMR of patient demographics based on information received from the referring provider.
  • Ensures new patient medical records are received prior to visit. Will be responsible for scanning and importing into the new patient medical record for access.
  • Retrieves completed medical intake form from the initial patient visit and accurately enter the medical demographic information into the EMR.
  • Communicates with clinical staff and patients when there is a potential insurance problem. Helpful and courteous in demeanor when communicating with referring provider offices, patients, and MHO staff. Capable of answering questions regarding insurance status.
  • Recognizes in a timely manner and alerts Financial Counselor’s for high risk or high out-of-pocket patients so arrangements can be made to ensure payment is properly settled.
  • Explains appointments and sets new patient expectations.
  • Centralized team works with point of contact at each MHO location
  • Confirms that patient completes the new patient paperwork.
  • Maintains the practices and principles set forth by MHO Leadership with a strong commitment to service, excellence, and quality.
  • Maintains professional behavior, confidentiality, and discretion at all times, along with the ability to work with all levels of staff through a confident and professional demeanor.

KNOWLEDGE, SKILLS & ABILITIES:

  • High school diploma or equivalent (GED). Minimum one year experience in a Healthcare environment. Medical Terminology preferred.
  • Accurately maintains and adheres to all safety rules and regulations.
  • Detailed oriented. Catches mistakes, recognizes missing information, and is capable of asking questions to gather appropriate information needed to complete demographic fields.
  • Knowledgeable of the different insurance carriers and their networks.
  • Executes an open, professional line of communication with MHO staff and referring physicians. Asks detailed questions that do not require several follow up conversations to gather demographic and insurance information.
  • Efficiently and accurately enters patient information into the EMR.
  • Excellent communication and organizational skills along with the ability to work in a fast-paced environment; prioritize tasks and workloads.
  • Working knowledge of various office communication devices and systems. Proficient in Microsoft Office and keyboarding skills preferred.
  • Performs other related duties as assigned.
  • Working knowledge/experience in electronic medical records and/or other medical software if applicable.
  • Must possess the ability to work with patients and family members in a confident, respectful, and socially professional manner.

WORK CONDITIONS:

Clinic Environment. Work may require sitting, standing, and/or walking in and around the clinic. High traffic area dealing with patients, family members, other staff and physicians. Assist patients as needed with walking, sitting or lifting. Working knowledge of computers with the ability to type, operate a keyboard, calculator, telephone, copier, fax and other office equipment as necessary. May be required to climb or balance; stoop, kneel or crouch; lift and/or move up to 25 pounds. Potential exposure to communicable diseases, toxins, substances, and other conditions common to the environment.
