Description: We are seeking a highly organized Patient Appointment Scheduler with a strong commitment to patient care. The Patient Appointment Scheduler is responsible for coordinating patient appointments in a courteous, efficient, and timely manner. This role serves as the first point of contact for patients and ensures accurate scheduling based on provider availability and patient needs. The Patient Appointment Scheduler also verifies insurance information, processes referrals, and works collaboratively with clinical and administrative staff to support a smooth patient experience.

As we continue to grow, we are seeking a Patient Appointment Scheduler to join our team and support our mission.
Essential Duties: โข Greet patients and schedule patient appointments efficiently, considering physician availability and patient preferences โข Handle inbound calls and inquiries from patients regarding appointments and general inquiries with professionalism and empathy โข Maintain accurate patient records, ensuring all necessary information is collected and updated in the system โข Protect patientsโ rights by maintaining confidentiality of medical, personal, and financial information โข Verify patient insurance coverage and communicate any relevant information to patientsโ chart โข Work closely with medical and administrative staff to ensure smooth patient flow and resolve scheduling conflicts effectively โข Process referrals as ordered by providers, including obtaining necessary authorizations and ensuring timely follow-up. โข Address patient concerns and complaints promptly and escalate complex issues to the appropriate personnel when necessary โข Maintain operations by following policies and procedures, reporting needed changes โข Assist with other administrative tasks as assigned by management โข Other duties as assigned.

Qualifications: โข High school diploma or equivalent required. Additional certification in medical office administration or related field is a plus. โข Proven experience in a healthcare setting, preferably in appointment scheduling or customer service role. โข Excellent verbal and written communication skills with the ability to communicate effectively with patients and healthcare professionals. โข Strong organizational skills with the ability to multitask and prioritize tasks in a fast-paced environment. Page 1 of 2 โข Empathetic and compassionate demeanor, with the ability to handle sensitive patient situations with care and professionalism. โข Proficiency in using scheduling software and electronic medical records (EMR) systems. โข Meticulous attention to detail to ensure accuracy in patient records and scheduling. โข Ability to collaborate effectively with colleagues and contribute to a positive work environment. โข Willingness to adapt to changing priorities and work schedules as needed.
Physical Demands: The employee is frequently required to walk; sit; use hands for fine manipulation, handle or feel and reach with hands and arms using a keyboard and video display terminal. The employee is occasionally required to stand and stoop, kneel, crouch or crawl and climb stairs. The employee should be able to lift and move up to 25 lbs. The work environment is typically quiet to moderate with standard office noise levels. While performing the duties of this job, the employee may occasionally be exposed to sounds such as ringing phones, office equipment, and conversations among colleagues.
