Job description

Job Title: Parts Department Associate
Reports To: Parts Department Manager
Position Summary
The Parts Department Associate is a key member of a collaborative team responsible for managing the end-to-end customer order process, from initial inquiry and technical consultation through purchase order entry and final invoicing. This role serves as a central point of contact for customers, fielding incoming emails and phone calls to provide pricing, delivery estimates, and technical support. Using assembly drawings and technical data, the associate helps identify correct parts and requirements, coordinating with other departments and escalating complex issues to the Parts Manager when needed. The role also acts as a liaison to overseas headquarters, domestic vendors, and sister companies, ensuring clear communication on pricing, delivery, and order status.
Beyond the customer-facing side, the associate reviews purchase orders for accuracy in terms, pricing, delivery, and account status, and maintains up-to-date logs as orders move through shipping and receiving. Daily coordination with vendors and internal staff is required to advise on, revise, or cancel orders as needed. The associate also works closely with the Shipping and Receiving team to process incoming packages, verify accurate costing, and facilitate backorder releases, stepping in to support warehouse duties when necessary to keep operations running smoothly and safely.
On the back end, the associate partners with Accounting to reconcile shipping manifests and prepare documentation for invoicing, and works with the Parts Manager and Commercial Department to resolve any discrepancies in costs or part descriptions. The role finalizes the invoicing process and sends documentation to customers, maintaining clear communication throughout on backorders or pending items. This position is ideal for an organized, detail-oriented professional who thrives in a fast-paced, team-oriented environment where strong communication across departments is essential to success.
Requirements
Relevant Experience - Prior experience in a parts department, inside sales, customer service, or order processing role, ideally within a manufacturing, industrial, or technical products environment.
Technical Aptitude - Ability to read and interpret assembly drawings and technical documentation to accurately identify parts and specifications; comfort learning product lines and technical terminology.
Communication & Customer Service Skills - Strong verbal and written communication skills for interacting with customers, vendors, and international partners; ability to convey pricing, delivery, and technical information clearly and professionally.
Organizational & Multitasking Ability - Highly organized with strong attention to detail; able to manage multiple orders, logs, and priorities simultaneously while maintaining accuracy across order entry, invoicing, and inventory tracking.
