Job description

Job Overview:
APTIM currently has an opening for a part time Administrative Assistant for our Winter Garden, Florida office. The selected candidate will have the opportunity to work independently and in a team setting within a dynamic work environment.
Key Responsibilities/Accountabilities:
• Provide administrative support for the office, handling information requests, and performing clerical functions such as preparing correspondence, maintaining business licenses, purchasing office materials and supplies, maintain maintenance schedules for company vehicles, receiving visitors, shipping and receiving materials for the office, interacting with office vendors to maintain the office function and inter-action with office staff to support their project needs as listed:
• Perform general office duties such as ordering supplies, maintaining records management systems, and answering calls
• Assist in preparing reports, memos, letters, and other documents, using word processing, spreadsheet, database, and/or presentation software
• Assist and support the Office Manager
• Manage front desk in office
• Assist with questions through company website
• Prepare responses to correspondence containing routine inquiries
• Takes messages/meeting minutes
• Coordinate and direct office services, such as records and budget preparation, personnel, and light housekeeping
• File and retrieve corporate documents, records, and reports.
• Meet, greet, and escort visitors as well as providing access to individuals.
• Manage and maintain schedules for staff as needed
• Open, sort, and distribute incoming correspondence, such as mail and email
• Make travel arrangements for staff as needed.
Basic Qualifications:
• Good communication and organization skills
• Accepts and adapts to change well
• Strong proofreading and editing skills
• Excellent written, verbal and interpersonal skills
• A self-starter, motivated to contribute to the group
• Experience in administrative experience in a professional setting
• Readily learns programs/systems.
• Familiar with Word and formatting techniques
• Familiar with Excel and PowerPoint basics and presentations
• Proficient in Microsoft Office Suite.
• Strong attention to detail.
• Understanding or have the ability to operate office equipment, i.e., copying machines, UPS, FedEx systems, and US Postal Service for shipments, stamping machines, laminators, phone system, computer hardware
• Ability to maintain a high level of confidentiality especially of employee sensitive material.

As of the date of this posting, a good faith estimate of the current pay range for this position is $20- $23 per hour. Compensation depends on several factors including: experience, education, key skills, geographic location of the position, client requirements, external market competitiveness, and internal equity among other employees within APTIM.
