As we continue to grow, we are seeking a dedicated and organized Part-Time Legal Clerk or Assistant to join our dynamic team. The position has the potential to evolve into a Full-Time role as the needs of the firm grow.

Position Summary:
The Part-Time Legal Clerk or Assistant will be the first point of contact for clients, visitors, and callers, providing exceptional customer service while assisting with a wide range of administrative and legal tasks. This position combines traditional receptionist duties with essential legal secretary responsibilities, offering a unique opportunity to grow and develop in a boutique law firm setting.

This is a part-time position (15–20 hours per week). Given the nature of the work and client interactions, this position will require you to be onsite at our Nashville office. Our office hours are Monday through Friday, 8:30 AM to 4:30 PM (Central). While there may be some flexibility with the schedule, the work must be completed during our standard operating hours and onsite.

Key Responsibilities:

  • Greet and welcome clients, visitors, and vendors in a professional and friendly manner.

  • Answer and direct phone calls, taking accurate messages and ensuring follow-up as needed.

  • Schedule and confirm client appointments and meetings, maintaining an organized calendar.

  • Manage office correspondence, including emails, faxes, and mail.

  • Process payments and assist with billing inquiries.

  • Maintain and update client records in the firm’s case management system.

  • Ensure the office area is organized, clean, and welcoming.

  • Assist with the preparation, proofreading, and filing of legal documents, including petitions, applications, and correspondence.

  • Organize and maintain client files, ensuring they are up-to-date and properly filed.

  • Prepare and format legal forms and documents in compliance with immigration law requirements.

  • Help communicate with clients regarding document requests or case updates.

  • Assist with maintaining case deadlines and tracking important dates for immigration filings.

  • Perform other administrative tasks as needed to support the attorneys and legal team.

Qualifications:

  • High school diploma or equivalent; college coursework or legal education is a plus.

  • Preferred previous experience in a receptionist or administrative role, preferably in a legal or customer service setting.

  • Experience or strong interest in immigration law is preferred.

  • Strong communication skills (both verbal and written).

  • Excellent organizational skills and attention to detail.

  • Ability to multitask and prioritize tasks in a fast-paced environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with legal case management software is a plus.
