Job description:
Job Description
The Part-Time Administrative Assistant to the Director of Advancement provides administrative, organizational, and communication support for the school's advancement efforts, including alumni relations, fundraising initiatives, donor communications, events, and capital campaign activities. This individual plays a key role in helping maintain strong relationships with donors, alumni, and the broader school community while supporting the mission of First Baptist School.
Primary Responsibilities
1. Administrative Support
  • Provide day-to-day administrative support to the Director of Advancement.
  • Maintain calendars, schedule meetings, and coordinate appointments with donors, alumni, and community partners.
  • Prepare correspondence, reports, meeting materials, and presentations.
  • Assist with maintaining organized digital and physical records related to advancement activities.

2. Donor and Alumni Support
  • Assist with donor acknowledgment letters, receipts, and stewardship communications.
  • Maintain and update donor and alumni databases to ensure accurate records.
  • Support alumni engagement initiatives through communication, event coordination, and outreach efforts.
  • Help track donor interactions and assist with follow-up communication.

3. Event Coordination
  • Assist in planning and executing advancement events, including alumni gatherings, donor receptions, fundraising events, and capital campaign activities.
  • Coordinate event logistics such as invitations, registrations, materials, setup, and volunteer communication.
  • Help ensure events are executed professionally and align with the school's mission and values.

4. Fundraising and Campaign Assistance
  • Support annual fund campaigns and other fundraising initiatives through administrative and communication support.
  • Assist with preparing mailing lists, campaign materials, and donor reports.
  • Help monitor campaign progress and maintain accurate fundraising records.
  • Collaborate with the finance department to ensure proper processing and documentation of donations.

5. Communication and Office Support
  • Assist with advancement-related newsletters, social media updates, and email communications.
  • Respond professionally to inquiries from donors, alumni, parents, and community members.
  • Maintain confidentiality regarding donor information and school operations.
  • Support other advancement-related projects as assigned.

Qualifications and Skills
  • High school diploma required; associate's or bachelor's degree preferred.
  • Previous administrative assistant or office support experience preferred, ideally in a school, nonprofit, or ministry setting.
  • Strong organizational and time-management skills with attention to detail.
