Job Level 8, $31,070 to $43,507 per year based on the current terms and conditions, plus benefits
52 weeks, part-time work schedule to be determined with supervisor
PRIMARY RESPONSIBILITIES
  • Provide back-up support to the Payroll Director to process a complete payroll cycle. This includes various pay type input, payroll calculation, processing reports, garnishments (child support/IRS/spousal support) and updating invoices for payroll taxes and employee deductions.
  • Assist director with creating, balancing, and uploading retirement reports for Public Employees and Teachers Retirement Associations. Understand rules and regulations for these retirement programs. Process various requests from these associations.
  • Assist with void reissue and processing of manual checks when needed to provide backup to the Payroll Director.
  • Prepare initial negotiations data base information and process various "what-if" scenarios.
  • Process accounting adjustments, and budget transfers as requested by various departments including Finance, Human Resources, and district programs.
  • Set up and maintain pay records for extracurricular items as outlined in Appendix B of the current Teachers Contract.
  • Maintain flexible spending account set up (FSA/HSA/Dependent Care), modifications, and year end balancing.
  • Accurately prepare quarterly wage detail report for the State of Minnesota.
  • Daily processing of teacher substitutes using Frontline Management System & Skyward sub tracking software.
  • Assist and maintain Skyward True Time processing to meet weekly deadlines.
  • Receive, verify, and process paper timecards daily.
  • Communicate, manage and train assigned approvers for Skyward processing.
  • Maintain Monthly Time Off Accruals for all District Employees.
  • Filing of various documents and follow record retention timeline requirements.
  • Process employment verifications, and workers comp forms as requested.
  • Create Fiscal Payroll schedules and calendars to communicate Districtwide.
  • Calculate and process Retro pay, Sick Leave Incentives, Career Increments and PTO Buy Back based on contract negotiations and Collective Bargaining Agreements.
  • Process and organize all Direct Deposit and W-4 documents for new and existing employees.
  • Manage and update the Organizational Chart in Skyward for all employees.
  • Manage, organize, and process all Payroll Action forms using the Pac School Management System in a timely manner to meet all payroll deadlines.
  • Cross train and communicate payroll procedures within the department to provide quality customer service and backup as needed.
  • Other duties as assigned.

QUALIFICATIONS
  • High School Diploma or equivalent
  • Preferred 5+ years of experience with full cycle payroll process.
  • Knowledge of applicable state and federal employment wage and hour laws.
  • Data entry skills.
  • Excellent communication skills, both written and verbal
  • Proficient in Microsoft Office Suite
  • Skyward software experience a plus.
  • Ability to have a flexible schedule and adapt to changing priorities.
  • Outstanding analytical skills and attention to detail.
