Additional Details: The Department of State is looking for a career minded individual who is looking to grow with the organization and advance in their career. This position has the potential to lead to more worldwide travel and responsibilities. Recent college graduates or junior level candidates who already hold a secret clearance are encouraged to apply.

Responsibilities

  • The EAA performs a variety of clerical, administrative and program tasks in support of DS/IP/OPO. These duties include day-to-day administrative and clerical support for the Office Director; typing in final form a variety of documents such as memoranda, letters, and cables; maintaining control records on incoming correspondence and action documents; distributing incoming/outgoing mail; answering telephone calls, and scheduling and maintaining the Office Director's calendar for appointments, meetings, engagements, conferences, etc.

  • The EAA shall be responsible for coordinating and tracking correspondence to and from the Office Director, which may include taskers and official memoranda. The EAA will oversee the administrative services, processes, procedures, and correspondence prepared by office administrative services personnel to ensure that efficient and effective administrative services are provided in the three (3) divisions within OPO, and all correspondences adheres to DOS standards. This will include monitoring and coordinating the flow of information between DS/IP/OPO senior management and the three (3) divisions.

  • The EAA shall be responsible for training administrative services personnel and assisting in developing administrative processes and procedures for the three (3) divisions.

  • The EAA shall perform other duties and complete special projects as may be assigned and directed by the Office Director.

Qualifications

  • Willing to learn and grow with the organization.

  • Bachelor's Degree, OR Four years (4) experience; two (2) years must be supporting the Foreign Service (State Department) as an administrative assistant for Foreign Services Officers, Senior Foreign Services Officers). AND an additional four (4) years' experience of general administrative, secretarial, and/or clerical type experience.

  • Excellent written and verbal communications skills and be able to interface effectively with senior officials.

  • Be capable of providing guidance, operational direction, and coordination of administrative efforts of all office administrative personnel in three divisions. Organizational planning skills and initiative are critical attributes for this position.

  • Be highly, proficient in computer skills (i.e., Microsoft Office (Word, Outlook, PowerPoint, Access, and Excel).

  • Possess strong writing, proof reading and editorial skills

  • Strong administrative services experience to include administrative/clerical processes and procedures (which include performing a variety of administrative support functions related to travel, training, payroll, supplies, briefings, reports, files management, dissemination of classified information, and preparing correspondence, etc.).

  • The EAA should have familiarity with foreign affairs agencies. Shall be willing to travel overseas up to 10 percent of the time. Shall not have any impediments to overseas travel that may be to countries that are considered dangerous or unhealth

  • EAA shall possess a Secret clearance.
