Outside Processing Coordinator

G&W Products, a leader in contract metal manufacturing and fabrication since 1968, is seeking an Outside Processing Coordinator to join our Shipping Department at our Fairfield, Ohio location. Our areas of expertise include metal stamping, laser cutting, fabrication, manual and robotic welding, tool and die work, powder coating, and assembly. With 190,000 square feet of manufacturing space across three Fairfield facilities, we proudly serve customers in industries including construction, transportation, energy, and defense.

The Outside Processing Coordinator will coordinate the day-to-day needs of Outside Processing (OSP), ensure vendor shipping and receiving requirements are met, maintain inventory and shipment accuracy, and serve as the primary point of contact for OSP vendors and internal customers.

Key Responsibilities
  • Coordinate OSP shipments, vendor communication, and related documentation to support production schedules and customer delivery commitments.
  • Create purchase orders for each shipment leaving G&W for an OSP supplier, send purchase orders to suppliers, obtain acknowledgments, and follow up on open orders.
  • Verify pricing, quantities, delivery dates, lot charges, minimum and maximum quantities, and other purchase order details for accuracy.
  • Work with Scheduling on part expediting needs and with Purchasing to correct pricing information in the master purchase order file.
  • Partner with Quality on issues involving parts processed by OSP suppliers and coordinate with Project Managers to ensure appropriate notes are added to parts and reflected on purchase orders.
  • Prepare outbound OSP and customer orders for shipment, including wrapping, weighing, tagging, and verifying materials.
  • Print OSP send-to lists to identify, verify, wrap, and tag material returning to the OSP area for outbound shipment to vendors.
  • Receive inbound material from vendors into the ERP system and help maintain accurate inventory records.
  • Perform inventory audits for material located on OSP supplier floors as needed.
  • Communicate professionally with G&W associates, program managers, Quality personnel, Customer Service, management, vendors, and carriers by phone, email, or in person.
  • Manage multiple daily tasks safely and efficiently with limited management oversight.
Qualifications and Skills
  • Experience in shipping, receiving, inventory coordination, manufacturing, or a related environment preferred.
  • Ability to use company computer terminals, printers, tablets, scanning equipment, email, and inventory or business tracking systems.
  • Strong attention to detail and commitment to shipment, documentation, and inventory accuracy.
  • Ability to communicate professionally with vendors, carriers, internal departments, and all levels of management.
  • Ability to work independently, take initiative, manage time effectively, and adapt to changing priorities.
  • Ability to follow detailed internal work instructions, standard operating procedures, safety guidelines, and customer-specific requirements.
  • Ability to be certified to operate powered industrial lifts, including counterbalance and reach trucks. (must have a valid driver’s license)
  • Ability to work unscheduled overtime to complete daily requirements.
